PRINCIPLE PURPOSE OF JOB:

Provides administrative support to the Quality Assurance Manager, Nursing and Staffing Department to ensure clinical staff notes are accurately documented and submitted timely.

ESSENTIAL JOB RESPONSIBILITIES:

 

  • Reviewing Skilled Nursing Notes and C.N.A. Notes for accuracy
  • Ensuring that Client Incident Reports match Skilled Nursing and C.N.A. Notes
  • Calling Skilled Nurses and C.N.A.s for missing notes
  • Mailing back notes to Skilled Nurses and C.N.A. which need to be re-written and/or corrected
  • Auditing Client charts for Yearly Physician Orders, Antibiotic Orders, Infection Control Data, & Client Hospitalizations.
  • Ensuring Supervisory Visits are present on Clients’ charts every 62 days
  • Organizing Infection Control Log, Quarterly Report, & binder
  • Organizing Hospitalization Log, Quarterly Report, & binder
  • Maintaining Automobile Insurance Log
  • Responsible for sending monthly supplies to clients to ensure the field staff is equipped to perform their assigned duties  (i.e. Mail-out of envelopes, Skilled Nurses Notes, C.N.A. Notes, and other ancillary paperwork to Client’s & Caregivers homes).
  • Prepare Client Admission Kits and Patient Information & Communication Books (have 10 of each prepared at all times).
  • Maintaining Inventory and Ordering ALL items and equipment for Admission Kits (Stethoscopes, thermometers, blood pressure cuffs, wound measurement tools, etc.)
  • Filing Nurse Supervisors’ paperwork into Client’s charts
  • Assist with preparation for monthly New Hire Orientation (i.e. making copies, organizing binders, etc.)
  • Fold Monthly Educational mail-outs in order to be sent out monthly with checks.
  • Maintaining Monthly Educational binder and time-by-name sheet
  • Provide administrative support to the Quality Assurance Department
  • Filing and managing the on-call/buffer binder
  • Copying charts and notes for Medical Records Requests as well as collecting the prepared billing to be sent (from Finance)
  • Maintaining Inventory of Skilled Nurses Notes, C.N.A. notes, and ALL ancillary paperwork
  • Monitoring Expiration Dates on Lab-in-a-box, discarding expired boxes, & re-ordering as needed.
  • Other duties and responsibilities as assigned or needed

Qualifications

  • Required knowledge of:

Some knowledge of healthcare terminology

 

  • Required Skills:

Excellent Computer skill including MS Office; customer service/telephone skills; ability to enter data for long periods of time

 

  • Required Abilities:

Ability to multitask and must have a good sense of time management, interact well with others, and handles stressful situations; ability to concentrate in a busy and very noisy environment; understand and demonstrate the Accord Values:  Accountability, Passion, Integrity, Excellence, and Teamwork; demonstrated ability working with a diverse population

 

MINIMUM QUALIFICATIONS:

 

  • Education

High School Diploma/GED

Certified Nurse Assistant (CNA), Medical Assistant (MA), Front Office Assistant (FOA) or Back Office Assistant (BOA) preferred

  • Work Experience

1 year prior general administrative office experience

  • Licensing and/or Certification
