POSITION SUMMARY

The Receptionist/CSR will have a cheerful disposition, pleasant phone voice, strong communication skills, and present a very polished, professional image to clients and visitors alike. This candidate should be articulate and organized and have the ability to multi-task. Candidate will have a strong background in preparing memos, letters, correspondence, and managing daily system generated tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Act as receptionist and route all incoming calls to the appropriate team member. Coordinate reception coverage, including managing multiple phone lines and visitor check-in.
  • Perform a variety of general office functions including filing and clerical tasks.
  • Provide support by assisting account managers with preparation of reports and required documents, as well as customer service to clients.
  • Prepare renewal summaries and other documents as requested by the Account Managers/Insurance Sales Producers.
  • Participate in basic client services such as issuing Certificates of Insurance, Evidence of Property Coverage documents, order various change endorsements from carriers, and ensure that the agency management system is updated daily.
  • Process new business, renewals and endorsements through the agency management system and communicate to the insurance company and/or MGA; follow up to ensure changes are complete and verify the accounting process has been completed.
  • Accurately maintain electronic documentation of activities and communications.
  • Assist in the resolution of commission differences.
  • Order loss runs, MVRs, and experience modifiers.
  • Enter loss run information and prepare loss summaries for new and renewal submissions.
  • Preparation of policies to be delivered, tabs for proposals, and finance agreement quotes.
  • Other duties may be assigned to meet business need.

SALARY AND EMPLOYMENT

  • Pay range dependent on skill level
  • Company benefits including Medical, Vision, Dental, 401K
  • Standard 40 hour M-F 8am-5pm or as determined by Manager

Qualifications

SKILLS AND ABILITIES REQUIRED

  • High school diploma or the equivalent
  • Receptionist, Administrative and/or clerical experience is preferred
  • Previous insurance related experience a plus
  • Proficient in the use of Microsoft Office Products: Excel, Word, Outlook, and PowerPoint. Familiar with the use of an Agency Management System and document management system.
  • Strong interpersonal skills and a customer service focus with high standards of quality
  • Able to work independently with minimal supervision and as part of a team
  • Strong written and verbal communication skills; professional presentation
  • Demonstrated skills: sense of urgency, detail-oriented, excellent organizational and time management skills.
  • Bilingual - Spanish/English – required
