Job Description

SUMMARY
The HR Service Center Representative will serve as an integral member of a team providing first-tier general HR support to employees, assisting employees and managers with questions regarding benefits, HR tools and processes, directing individuals to the appropriate contacts for additional assistance.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

  • Responds to employee requests and inquiries, directing employees to relevant policies or documentation
  • Processes employee transactions
  • Answers questions regarding employee benefit plans
  • Responsible for providing first level response to HR tool, process, and program questions and issues
  • Solves routine problems and issues and provides tracking through ticketing system
  • Escalates complex issues or questions to defined subject matter experts
  • Identifies areas for continuous process improvement
  • Documents all work flows and processes in work manuals, develops and maintains statements of procedures
  • Upholds service level agreement metrics regarding commitments to problem resolution timeframes, and manages service tickets through fulfillment
  • Support, train, coach managers on Align processes, policies and procedures and HR tools
  • Support and coach employees on HR processes and guidelines including benefits administration, payroll inquiries/coordination, and  assisting with employee paperwork
  • Manage aspects of HR administration such as personnel data, and documentation, managing confidential data in an appropriate way
  • Training coordination and support as needed
  • HR coordination and administrative duties as assigned
  • Assist in employee events such as Bring Your Child to Work Day, Health Fairs, etc.
  • Participation on special committees/projects as needed
  • Manage organizational reports
  • Maintain data accuracy as related to employee files and records including accurate and timely entry of all HR information into HR system
  • Coordination of contingent workforce and reporting
  • Listen attentively to customer needs and concerns; demonstrate empathy
  • Prepare special/ad-hoc reports as necessary
  • Analyze data and trending. Make recommendations based on the analysis and trends.
  • Make recommendations and assist in the implementation of the expansion of the shared service center. Administer and maintain Workday and ZenDesk as needed

Qualifications

  • 3+ years’ experience in area of responsibility (e.g. Benefits, Employee Relations)
  • Experience in a highly regulated business environment (e.g.  Medical Device industries and/or Pharmaceutical) preferred
  • Demonstrated effective organizational skills in addition to an attention to details.
  • Proficient in Microsoft Word, Excel, Power Point and Outlook.
  • Ability to maintain confidentiality and have proven record of maintaining sensitive information.
  • Ability to handle several tasks at once and prioritize work based on demand.
  • Ability to be self-directed and self-motivated and operate successfully with moderate direction.
  • Must have effective communication skills, strong customer service orientation and employee relations skills.
  • Ability to be solution-oriented and flexible
  • Must be an effective communicator verbally as well as through writing skills.
  • Ability to properly handle sensitive and confidential information
  • Ability to work well in a team oriented environment
  • Ability to communicate across all levels within the organization
  • High sense of urgency for meeting commitments and completing assignments
  • Be resourceful and creativity in finding solutions to challenges
  • Responds to requests concerning HR policies/programs
  • Experience administering an HRIS preferred

 

EDUCATION and/or EXPERIENCE

  • Bachelor’s degree or 4 years experience equivalent
