Job Description

SUMMARY

The Training Events Coordinator will support Align Technology’s (makers of Invisalign) customer training events. Customer training consists of approximately 300 one-day educational events for General Dentists, Orthodontists, and their teams, located in venues throughout the United States and Canada. The Coordinator, Training Events, will be responsible for procuring and managing collateral, supplies, and shipments for all events and will provide administrative support for the training team. Key responsibilities will include coordinating supply distribution, processing purchase orders and payments, managing travel for speakers and on-site teams, event roster processing and training calendar maintenance. The ideal candidate will be highly organized, relentlessly detail-oriented, and excited to take on an entry level position in a well-established and highly regarded event management team.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Vendor management, including collateral and shipping vendors
  • Manage all aspects of weekly supply shipments – collateral inventory, supply fulfillment, crate movements, tracking documentation, communication to all stakeholders
  • Manage vendor contracts, purchase orders, expenditure authorizations, payment processing
  • Manage travel requests and travel approvals for all training events
  • Process attendee rosters for each event and distribute to all stakeholders
  • Maintain training calendar and communicate updates weekly
  • Support training event processes and team

This is a full-time in-office position located at Align headquarters in San Jose, California. No travel required.

EDUCATION and/or EXPERIENCE

  • Bachelor's degree or equivalent
  • Minimum of one year administrative or event coordinator experience
  • Minimum one year experience with MS Office; Excel, PowerPoint, and Word
  • Interest in, and excitement about the events industry is a bonus
