Job Description

Role Purpose

Provide strong support to the Sales and Marketing teams to help drive quality, internal processes and revenue. In addition, interaction and support as necessary with senior-level executives, including the President & CEO, and  the handling of sensitive information. In providing this support the position requires a high degree of initiative, discretion and confidentiality. This position reports to the Chief Sales Officer who has overall responsibility for the sales and marketing teams.

Responsibilities

  • Organize and manage an updated and accurate calendar; including scheduling and coordinating meetings and appointments for the President & CEO
  • Manage, prepare and confirm all travel requests, accommodations and itineraries; resolving any related difficulties for the executive team.
  • Compile, format, and distribute presentation documents for key business meetings including board meetings, business performance review meetings and sales meetings; as well as, coordination of inputs from executives and others in connection with key business meetings.
  • Organize catering for executive and other business meetings
  • Attend management meetings for the purpose of taking and transcribing minutes in an accurate and professional manner.
  • Prepare monthly corporate credit card and cash expense reports for members of the executive and sales teams.
  • Provide sales team support including, illustratively, electronic file transfer to customers and other business partners, proposal document creation, and business software issues resolution.
  • Run and distribute weekly sales pipeline reports, and work with sales leaders to ensure data integrity. Run monthly reports for overdue sales opportunities and work with sales leaders to ensure data currency.
  • Administer SharePoint portals for sales opportunities.
  • Provide marketing support, including the coordination of marketing budget reporting and tracking, event planning (trade shows and VIP events), planning and ordering of brochures and corporate giveaways, including inventory tracking and shipping to regional sales offices.
  • Organize annual holiday cards and other packages for customers and business partners.
  • Administer corporate credit card programs including card ordering, card change management, and employee-facing card training
  • General administrative duties, including producing PowerPoint decks, managing distribution lists, arranging team calls and producing meeting reports
  • Prepares correspondence accurately from instructions and other provided materials.
  • Maintain a filing system for correspondence, business matters, internal and external contacts and other related data.
  • Special projects and other duties, as assigned.

Qualifications

Requirements/Skills and Abilities

  • Bachelors degree and/or substantial experience in a similar sales/marketing support or administrative role.
  • Trustworthy, with the ability to observe and maintain strict confidentiality.
  • Experience managing calendars across multiple time zones.
  • Experience managing comprehensive travel itineraries on a regular basis.
  • Superb time management, decision-making and problem-solving skills.
  • Highly developed verbal and written communication skills; including report writing, drafting of correspondence and preparing presentations.
  • Ability to work independently, as well as collaborate in team environments.
  • Natural ability to take a proactive approach with all tasks, responsibilities, projects, etc.
  • Possess the innate ability to problem solve easily through various situations and scenarios.
  • Well-developed interpersonal skills, with the ability to get along well with diverse personalities and thrive in a dynamic, multi-cultural environment
  • Ability to show initiative and effectively work within an environment of frequent interruptions and conflicting priorities.
  • Must possess excellent working knowledge of Microsoft Word, PowerPoint , Excel and Outlook; with the ability and willingness to learn SharePoint
  • Most possess experience with at least one CRM (preferably C4C) 
  • Professional, polished, poised, positive, and energetic demeanor.
