Job Title: Communications Associate (Temporary, Full-time)

Supervisory Responsibilities: None 

Reporting to Title:  Senior Director, Communications 

 

**This is a 90-Day temporary position with potential for transition into a permanent role**

 

SUMMARY:  The Communications Associate provides systems, tactical and administrative support in developing and executing a consistent communications strategy that articulates the Foundation’s vision. S/he will assist with communication activities that support the overall Foundation and brand as well as individual programs/initiatives. S/he will also ensure Communications policies, processes and resources maximize efficiency and productivity. 

The Foundation structures our work through a portfolio of interconnected initiatives. All staff play a role in connecting and synthesizing knowledge across teams to further the Foundations’ Mission and Vision. Therefore, this person may be assigned to any of the Foundation’s initiatives based on initiative cycles and evolving organizational needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  • Assist in the execution of the content ecosystem strategy, including support for webpage and social media content, website updates and coordination of the ecosystem calendar to ensure that new and consistent information (article links, stories and events) is posted regularly and strategically. 
  • Work with all contact owners across the Foundation to update and maintain contact database (Constant Contact). 
  • Assist with maintaining and refining the Bainum Family Foundation’s brand identity. This includes managing templates and style guide that reinforces the brand and maintaining an online brand asset library (staff bios, staff photos, stock photos, event photos). 
  • Schedule/coordinate routine staff photos. 
  • Respond to requests for bios/photos from Foundation staff for speaking engagements, etc. 
  • As requested, provide tactical and administrative support for Communications-related events, in collaboration with the Events team. 
  • Support the creation and maintenance of the Communications page/content on SharePoint. 
  • Schedule regular meetings with program/initiative teams and document notes/next steps. 
  • Track metrics for Communications dashboard (e.g., website, social media, speaking engagements, blog, publicity) and update dashboard quarterly. 
  • Maintain overall speaking engagement calendar and coordinate external support (messaging coach, PPT designer). 
  • Support the production and execution of all print and electronic collateral, including the annual report, board reports, brochures, conference materials and other publications as needed.  
  • Proofread various communications for the organization, ensuring that communications are accurate, clear and complete; correct in terms of spelling, grammar, punctuation and editorial style; and that they maintain a consistent tone and voice. 
  • Oversee communication mailings (e.g., annual report). 
  • Process invoices and expenses. 
  • Perform other duties as assigned.

  • Bachelor’s degree in Communications, Journalism or Public Relations strongly preferred. Degrees in related fields will be considered. 
  • One to two years of communications experience (can be corporate, agency, government or nonprofit). 
  • Strong oral and written communications skills. 
  • Strong technology skills. 
  • Strong project management skills; detail-oriented. 
  • Highly collaborative with excellent interpersonal skills and the ability to work with internal and external constituents. 
  • Excellent problem-solving, organizational and time-management skills. 
  • Ability to exercise independent judgment and discretion. 
  • Must be able to read, write and speak the English language at a college level, perform mathematical calculations required for the position and learn to interpret and comprehend company policies and procedures. 
  • Ability to convey necessary information accurately, listen effectively, and ask questions when clarification is needed. 
  • Can effectively cope with change and work independently.  
  • Proficient collaborative, interpersonal, written and verbal communication skills. 
  • Ability to complete projects accurately and within deadlines.
