Job Description

Job Title: Senior Manager, Operations                 

Internal Job Level:  Senior Manager

FLSA Status:  Exempt

Supervisory Responsibilities:  Potential future supervisory responsibilities

Reporting to Title:  Director of Operations

Salary: $85,000 to $110,000 per year

Location: Currently remote, but DC Metropolitan Area candidate preferred

SUMMARY:

The Senior Manager of Operations is expected to be a thought leader in efficient business practices and will work under the leadership of the Director of Operations to maximize efficiency, effectiveness, and equity in the Foundation’s operational processes, policies, and practices. They will manage implementation of project management, process improvement, and operational initiatives in alignment with strategy. The incumbent will support the analysis of projects and processes on an ongoing basis, recommend and facilitate the development of new project plans and processes as needs emerge and lead cross-functional initiatives as needed. They will support the management of the day-to-day operations, enhance stakeholder engagement and create more equitable outcomes by collaborating across the organization to solicit feedback and identify opportunities for improvement.

The Foundation structures our work through a portfolio of interconnected initiatives. Therefore, this person may be assigned to any of the Foundation’s initiatives based on initiative cycles and evolving organizational needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Operational Management

a.     In collaboration with Director of Operations, lead the coordination and implementation of strategic operational projects, ensuring cross-functional alignment, communication, and progress towards milestones

b.     Manage portfolio and tracking of all Operation team’s projects​

c.     Oversee tracker of cross-functional projects​, ensuring teams across organization utilize relevant project management resources and communicate progress

d.     Act as a key member of the Communities of Practice, the cross-functional working group assigned to internal process improvement, sharing knowledge of best practices in business efficiencies to increase stakeholder engagement

e.     Assume the key role of operations cross-functional collaborator with programs, finance, legal, IT and HR teams to influence the adoption of new organizational optimization standards and other organizational changes while modeling and supporting an organizational culture of diversity, equity and inclusion

f.      Navigate high-touch internal and future external stakeholders through strategic problem solving and ideation

g.     Resolve conflicts and pursue solutions that all parties can support while furthering the operating goals of the organization

h.     Develop clear strategic communication plans to keep all stakeholders informed of progress on operational projects

i.      Organize and coordinate regular cadence of interactions with stakeholders to ensure value creation and knowledge sharing

Process Optimization

a.     Research operations management best practices using equity, efficiency and effectiveness considerations and recommend improvements/solutions to leadership in support of job function strategy

b.     Identify and prioritize process optimization opportunities using both qualitative feedback and quantitative data

c.     Facilitate process improvement root cause analysis and lesson learned discussions​

d.     Focus on change management and adoption of operational improvement initiatives

e.     Hold trainings on process improvement approach ​

f.      Conduct workshops on policies/processes to support policy/process maintenance and ongoing improvement.

g.     Work with individuals and teams to conduct gap analysis and recommendations to increase business efficiency, effectiveness, and equity

h.     Monitor and identify KPIs to show progression of overall process improvement efforts and other operational priorities and to validate and support data-driven decisions

i.       Support overall operational and cross-functional initiatives, goals and priorities

j.       Assist in the development and monitoring of operational budget

Project Management

a.     Research project management best practices and adapt to organizational context

b.     Create and refine project management templates and guidelines

c.     Support change management and adoption of project management approaches and templates

d.     Help develop a core training curriculum on project management and train other staff in project management/coordination roles

e.     Assess project scope, budget, schedule and staffing capacity for feasibility​

f.      Assist in the prioritization and implementation timeline of projects​

g.     Develop project plans including change management plans​

h.     Monitor and identify KPIs related to project management

i.       Conduct ongoing assessment of project management approach, training, and templates using quantitative and qualitative feedback from stakeholders

Qualifications

FUNCTIONAL/TECHNICAL REQUIREMENTS: The requirements listed below are representative of the knowledge, skill, and/or ability required. ·       Bachelor’s degree or equivalent experience in relevant field preferred.

·       PMP certification and/or Lean Six Sigma and/or other relevant project management and process management certifications preferred; demonstrated knowledge and use of accepted project management practices is highly preferred.

·       5+ years of experience in operations, project management, and/or other relevant experience

·       A willingness to embrace an organizational mission and culture that actively promotes anti-racism, both internally and externally in our partner communities

·       Proficient management and leadership knowledge to facilitate and/or lead cross-functional project teams; demonstrated strong stakeholder management skills at all levels in the organization

·       Advanced conceptualizing, reasoning and interpretation skills to effectively manage cross-functional projects, including gathering input from and communicating to diverse stakeholders.

·       Ability to synthesize and analyze qualitative and quantitative data to make meaningful insights

·       Prior experience leading organizational change or knowledge of effective change management practices

·       Ability to facilitate meetings equitable and effectively, tailoring approach based on audience

·       Strong organizational skills; ability to manage multiple projects with competing priorities and quick turnaround of deliverables.

·       Must be able to read, write and speak the English language at a college level, perform mathematical calculations required for the position and learn to interpret and comprehend company policies and procedures.

·       Ability to convey necessary information accurately, listen effectively, and ask questions when clarification is needed.

·       Proficient collaborative, interpersonal, written and verbal communication skills.

·       Ability to complete projects accurately and within deadlines.

·       Readily learns and adopts new technologies that are critical to evolving business needs; is open to building new technical skills, knowledge or capabilities that can benefit business and/or personal performance.
