Job Description

RESPONSIBILITIES AND SPECIFIC DUTIES

 

Serves as 'Gate Keeper' for all team members by handling routine emails, telephone calls and other direct communication received by clients.

Routes clients' support requests to proper team members.

Delivers clients' final tax returns and support documents as instructed by company checklists.

Supports tax department by tracking key client information which includes estimated payments; tax planning; and changes in client's tax situation (home purchase, child, retirement, etc.).

Supports accounting department by systematically requesting accounting data files and support documents based on client service agreement.

Restores clients' accounting software files, as well as delivers the accountants' changes to clients.

Supports clients' document requests by ensuring all requested documents are received in a timely manner.

Onboarding of new clients by creating new file structures on server and document portal.  Responsible for ensuring all pertinent information is captured and inputted in CRM software.

Provides client instruction on how to properly utilize document share portal and electronic signature software.

Manages execution of client authorization forms and proper routing once executed.

Directs clients celebrations and awards

Manages company computer file structure to ensure all documents are properly saved to correct folders.

Supports company expense management utilizing third party software.

Assists with business development efforts, including but not limited to:  networking; social media engagement;  calling of leads; and distribution of company brochures.

 

Qualifications

KNOWLEDGE AND SKILL REQUIREMENTS

 

Associate degree in accounting or similar experience (2 years) as a public accounting practice admin assistant


Prior accounting/bookkeeping experience preferred


Prior experience in client services


Strong interpersonal and relationship building skills


Kind assertiveness ability to follow up with clients and request payments


Exceptional organization skills


Strong technology skills (MS Office, Outlook, One Note, QuickBooks at a minimum)


Experience in paperless environment

Additional Information

This is a part-time executive assistant position. This position can easily turn into full time resulting from a current growth expansion plan.
