Job Description
You will have to handle duties ranging from preparing new hire documents to planning and organizing ongoing business activities.
Your main responsibilities will be:
- to receive, record and distribute/file company snail mail, as well as send letters to clients, suppliers or other partners, to issue/send any requested formal correspondence and prepare letters, presentations and reports
- to answer telephone calls, to take messages, to liaise with clients, suppliers and other staff, maintaining a good degree communication
- to organize administrative activities that facilitate the smooth running of our Bucharest office
- to manage contract and price negotiations with vendors, service providers, office lease, to source and order monthly office supplies and stationery and office equipment
- to prepare employees files by producing/issuing necessary documents, assisting the employees in filling them and assuring that employee files are complete and up-to-date according to law rules and regulations, to keep track of employee holidays as well as all out-of-office days
- to keep track of recurring medical examinations for all employees, to make appointments and to file the medical reports in each employee file, to keep track and schedule recurring briefs regarding emergency situations and health and safety policies, to schedule regular testing for electrical equipment and safety devices
- to keep track of company equipment entrusted to employees, ensure the equipment works properly, schedule and take care of immediate repairing, if needed and retrieve the equipment when employment ends
- to perform some bookkeeping duties when needed, to collect, scan and prepare monthly accounting documents in order to be handed to the external accounting firm
Qualifications
Bachelor’s degree in a finance or business-related field is an advantage
Knowledge of accounting and finance basics
Strong leadership skills and ability to perform a wide range of duties
Energetic, ambitious, proactive, well organized
Good English speaker
Good level of skills in Microsoft Office
Additional Information
The job is full time, located in Bucharest, and is available starting June 2016.
