Introduction

The Protocol Office coordinates and oversees the visits of dignitaries to CERN (including Heads of State and Government, ministers, ambassadors, scientific and academic leaders and others) and leads the organization of high-level ceremonies, events and meetings at CERN. Functions

As Protocol Officer, you will be part of the team that coordinates all aspects of the programmes, which enable high-level visitors to appreciate the role and value of CERN in line with the strategic directions of the Directorate and established protocol guidelines. You will be at the forefront of the representational function of the laboratory, working closely with colleagues from across CERN and the scientific collaborations.

Under the supervision of the Chief of Protocol, you will:

  • Serve as the central contact point for the design and preparation of the substantive and logistics aspects of visit and event programmes, coordinating internal and external services involved during the planning period, collaborating with CERN scientists, international relations advisers and national management liaisons.
  • Coordinate the protocol and logistics of visits and events, ensuring the conformity of the programme with relevant guidelines (precedence, procedure, etc.), timetable and related actions and adjusting to last-minute changes as necessary.
  • Provide assistance and advice on protocol matters to the CERN Management and senior colleagues at the laboratory.
  • Contribute to the maintenance of relevant statistics and performance indicators, as well as compilation of regular reports on the work of the Protocol Office.
  • Contribute to the continuous development of policies, guidelines and procedures related to the protocol.

Qualifications

Bachelor's degree or equivalent relevant experience in the field of hospitality, communications or a related field.

Experience:

  • Experience in hospitality is essential.
  • Experience working in teams, preferably in an international environment / international organization.
  • Previous experience in organizing and hosting diplomatic protocol events would be an asset.

Technical competencies:

  • Customer service: being proactive, adapting your behavior and reactions to the organization's needs and guest's expectations.
  • Event organization and management: of many event formats (protocol visits, inaugurations, project launchings, anniversaries, flag-raising ceremonies).
  • Drafting and writing of official documents: using office software packages. Drafting and writing daily correspondence addressed to high ranking officials or offices in French and English.
  • Knowledge of administrative rules and procedures: taking into account all safety/security aspects.
  • CERN Protocol standards: notions.
  • Diplomatic and ceremonial protocol and etiquette or ability to learn.

Language skills:

Spoken and written English and French: the ability to understand and speak both languages in professional contexts as well as the ability to draft standard texts and to make oral presentations in both languages.

Employment Conditions

Contract type: Limited duration contract (5 years). Subject to certain conditions, holders of limited-duration contracts may apply for an indefinite position.

These functions require:

  • Work in radiation areas.
  • Work during nights, Sundays and official holidays.
  • Interventions in underground installations.
  • A valid driving license.
