Colby Community College is located in northwest Kansas, approximately 50 miles from the Nebraska and Colorado borders. The college has grown from 99 students in the fall of 1964 to around 1,800 in 2013.  

In addition to an 80-acre main campus, CCC has a 60-acre farm used as a hands-on laboratory and training facility. The college also accommodates hundreds of off-campus students at 24 locations in the 14-county service area through face-to-face, online, and hybrid courses.

Job Description

PURPOSE: 

Under the general supervision of the Business Affairs Office, the incumbent performs a wide variety of financial record-keeping duties requiring considerable judgment, initiative, and independence; The incumbent has primary responsibility for providing technical support for the student accounts receivable function using a comprehensive knowledge of financial record-keeping methods, procedures, and practices and a basic knowledge of Generally Accepted Accounting Principles (GAAP).

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

1. Prepares reconciliations such as, but not limited to; daily cash flow from the cashier system to the student and finance systems, monthly credit card merchant statement transactions with the cashier system and then compiles, computes, and prepares billing statements of credit card merchant fees charged back to individual campus departments, application fees, and disbursed financial aid.

2. Maintains campus PowerCampus Program: With assistance from the Business Affairs Office, conducts annual inspections of student accounts to ensure compliance of regulations.

3. Creates and maintains complex spreadsheets including entering, revising, sorting, calculating and creating tables.

4. Creates, modifies, runs and exports queries.

5. Prepares journal entries.

6. Acts as the cashier's office for accepting student payments.

Other Functions:

1. Participates in the testing of financial software for upgrades and implementations as related to the position including such activities as testing transactions/data entry and data output.

2. Communicates established college policies and procedures to students, staff, faculty, and the general public, including those that require extensive interpretation.

3. Maintains the payback aspect of scholarships, loans, and other forms of financial aid.

4. Perform other job-related duties and special projects as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge: Comprehensive knowledge of financial record-keeping, mathematical and general office methods, procedures, and practices; and basic knowledge of Generally Accepted Accounting Principles (GAAP).

Abilities: Must be able to interpret and apply a wide variety of written rules and regulations; maintain accounting records for funds, programs, or activities involving multiple transactions; compile, verify, and reconcile financial data; use current computer word processing and spreadsheet software programs, web browsers, query tools, integrated financial systems and/or other types of records management systems, such as student accounting, cashiering and student financial aid; investigate and resolve errors and discrepancies; and read and interpret computer-generated reports.

While performing the duties of this job, the employee is regularly required to talk or hear. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.

SALARY/WAGE

$28,700 to $32,500

Qualifications

MINIMUM QUALIFICATIONS:

Experience: Equivalent to four years of progressively responsible financial record-keeping experience which has provided the above knowledge and abilities.

Education: Any equivalent combination of education and experience which provides the required knowledge and abilities.

PREFERRED QUALIFICATIONS:

Excellent ability to communicate with students and provide accurate and timely responses to a high volume of inquiries regarding charges, refunds, and account balances. Technical fluency with Ellucian PowerCampus and PowerFaids or equivalent student information system; Microsoft Office Professional Suite, and Google mail and calendaring programs. Highly desirable : Demonstrated understanding of and commitment to CCC’s vision.

SPECIALIZED SKILLS REQUIRED:

Demonstrated proficiency in the use of personal computers including word processing, spreadsheet and database software. Excellent customer service skills with the ability to understand and resolve routine problems as well as efficiency and attention to detail. Ability to: organize material and information in a systematic way to optimize efficiency; troubleshoot technology problems using knowledge of error messages and operating system basics; work with frequent distractions and achieve required work results; maintain effective working relationships with others; exercise tact, courtesy, alertness, and good judgment in responding to others; and independently follow through on work assignments with minimal direction. Demonstrated ability to address the essential functions associated with this position including the knowledge and abilities identified above.
