Job Description

The Medical Services Manager, under the direction of the Clinic Operations Director, is responsible to manage and supervise the operational and administrative functions, activities, and projects of the clinic. Responsibilities include the managing, planning and coordinating the operations of the clinic to include: Supervising all clinic staff, billing and collecting procedures, monitoring delivery of patient services, planning for space allocation, acting as liaison with patients and outside organizations, customer service, quality, cost and delivery performance in accordance with Community Clinic’s strategy, goals and values. The clinic manager will work collaboratively with the WIC Services Manager and Health Center Medical Director to ensure the effective and efficient operations of the clinic. The Medical Services Manager is also responsible for the operationally and administrative related portions of the Joint Commission, HRSA/UDS compliance and reporting. The position is also responsible for ensuring the clinic’s compliance with HIPAA regulations.

•    Manages, plans, and coordinates the operations of the clinic.
•    Recruit, interview, supervise, and direct all support staff to ensure the clinic operates in an efficient manner and that the patients receive high quality customer service.
•    Supervises scheduling and daily assignment of duties for support staff to assure effective and efficient operations.
•    Fosters teamwork and build strong relationships with associate medical director, support staff and providers to enhance the success of the clinic and meet the needs of the patients.
•    Supervises, monitors, coaches, develops, and evaluates staff performance on an ongoing basis in accordance with applicable performance standards and serves as role model for all staff.
•    Provides timely and accurate time keeping in the ADP system; minimizes overtime activities for support staff through appropriate scheduling; monitors and regulates support staff use of vacation and sick days.
•    Ensures the facility is closed and secured at the end of each service day; notifies the Clinical Operations Manager of any breach in compliance.
•    Assists in developing and implementing clinic programs.
•    Assure proper maintenance of all offices; order new equipment, coordinates IT and telephone support services and facility maintenance and repair.
•    Routinely reviews all policies and procedures that relate to the clinic and makes recommendations to chain of command for changes or updates when necessary.
•    Function as the customer service representative for clinic patients. Assures customer/patient service needs are met by monitoring patient service feedback, contributing to the process of resolving complaints and service issues, and planning and initiating process improvements.
•    Monitors delivery of patient services and participates in the budget creation, makes effort to reduce expenses and oversees management processes.
•    Identifies and implements opportunities to build employee morale and individual motivation.
•    Collaborates with Human Resources to ensure consistency in personnel policy development and communication to achieve positive employee relations.
•    Maintains accreditation for OSHA and other regulatory training and compliance, and coordinates cleanliness, orderliness, and safety of working environment.
•    Organize regular office meetings and set agendas.
•    Attends and actively participates in organizational meetings.
•    Order clerical supplies and oversee ordering of medical supplies and maintain supply records, pricing, etc.
•    Perform other duties as assigned.

A.    Attends appropriate in-services and continuing education offerings to obtain and maintain necessary skills.
B.    Actively participates in the Patient Centered Medical Home change process to support the organization’s transformation.

4.    Adheres to personnel policies to enhance clinical operations.

5.    Ensures that all required licensure and credentialing requirements for the nursing and provider staff are completed prior to placing staff member on schedule.   

**Salary is commensurate with experience**

Qualifications

•    Bachelor’s degree in Administration or Health related field preferred.
•    Five years’ experience in health care administration; one year in a management capacity.  
•    Experience in an acute care setting, preferably a community health center serving culturally diverse and undeserved patient populations.
•    Expertise in computer skills and Microsoft Office, including excel.
•    Demonstrated leadership, oral and written communication and analytic skills.
•    Bilingual Spanish / English is highly desirable
