Job Description

Under the supervision of the Accounting Manager, the Purchasing Coordinator is responsible for assisting/completing purchasing activities, coordinating the processing of purchasing documentation, maintaining vendor/source information, providing training on special products and preparing descriptions, specifications and bids for capital purchasing. Other related duties or responsibilities may be assigned or required by Accounting Manager or Chief Financial Officer (CFO).

•    Reviews PO requisitions for accuracy, completeness and funding sources prior to processing.
•    Maintains and processes related documents in the Purchase Order Module of the accounting system.
•    Prepares bids for any single item over $5,000.
•    Keeps and monitors the inventory and checks the inventories before ordering.
•    Maintains and updates the inventory list, which includes IT equipment, furniture and fixtures and cell phones, etc.
•    Reviews/verify/approves the invoices for price and products before A/P processing.
•    Assists Accounting Manager with credit card reconciliation and verification.
•    Assists CFO with monthly grant and contract billing.
•    Responds to inquiries from a variety of individuals including staff, administration, auditors, vendors, etc. for purpose of providing information and/or direction.
•    Assists in preparation of annual operating budget.
•    Monitors expenses and resolve budget discrepancies.
•    Assists auditors during annual review of financial reports as requested.
•    Generates analytical/financial reports as requested
•    Recommends policies, procedures and systems related to fiscal operation and develop implementation plans to meet state and federal purchasing guidelines.
•    Performs other related financial/administrative duties as assigned or required.

Qualifications

•    Bachelor’s degree in accounting or related field.
•    Knowledge of accounting software required.
•    Knowledge of Microsoft office applications.
•    Two years or more of accounting experience in a health care environment required.
•    Demonstrated excellent oral and written communication.
•    Ability to initiate and maintain positive working relationships with CCI staff and other organizations.
•    Understand the community served - community connectedness.
•    Comfortable working in fast-paced environment.
