Legal Secretary-Co-chair of US Corporate Department

M-F, 9am-530pm

The Firm is currently recruiting for a Legal Secretary for our New York Office. This position will provide administrative support to lawyers in a highly collaborative working environment.  

Responsibilities  

• Manage a complex calendar using a high level of tact and integrity. 

• Review and prioritize all client and other communications including emails and phone calls. 

• Handle administrative confidential/sensitive firm and/or client information. 

• Document preparation, editing, file maintenance and client billing. 

• Make complex travel arrangements including air, hotel, etc. 

• Coordination of internal and external meetings, including room reservation, catering, etc. 

• Coordinating, preparing and reconciling expenses using Concur expense system. 

• Producing accurate documents and general correspondence in a timely matter. 

• General follow-up in order to effectively meet deadlines and commitments. 

• Cover desks and responsibilities of other secretaries during absences. 

• Other duties may be assigned to fully meet the requirements of the position.  

Qualifications

• Minimum of 5+ years of administrative support experience within a large organization; experience within a legal department, law firm, accounting or financial services firm preferred. 

• High level of administrative and organizational skills, including excellent verbal and written communications skills. 

• Strong knowledge of MS Office, including Word, Excel and PowerPoint. 

• Demonstrated ability to take the initiative to spot problems before they arise, find solutions and provide timely follow through on projects. 

• High level of integrity required for handling confidential and sensitive information. 

• Demonstrated ability to work with a sense of urgency and under pressure as needed to handle multiple tasks and prioritize effectively. 

• Punctual and reliable with a close attention to detail. 

• Ability to interface effectively and diplomatically with partners and legal secretaries across the firm.
