Job Description

The individual will perform administrative assistant responsibilities such as answering multiple phone lines, filing documents, and assisting attorneys in the transcription of correspondence, memoranda, court documents and project work. This position requires knowledge of defense litigation processes, including filing procedures in state and federal courts (e-filing). Providing quick turnaround of documents while ensuring accuracy of documentation is essential. The successful candidate must exhibit a positive attitude and a willingness to help.

Responsibilities

• Transcribing and typing correspondence and memoranda

• Proofreading and ensuring quality of legal documents

• Respond to a high volume of phone calls

• Update and maintain litigation files

• Maintain calendars and schedule appointments

• Assist with special projects and other assignments as needed

• Provide back-up coverage to receptionist and other administrative assistants as needed

• Coordinate travel arrangements, securing air, hotel and car plans for attorneys and clients

• Coordinate meetings and appointments for attorneys and clients including conference room scheduling, meals and preparation of meeting materials

Qualifications

• Minimum 5 years legal experience as Legal Administrative Assistant; some knowledge of defense litigation areas required

• Minimum typing speed 65 wpm

• Proficiency with Microsoft Office and expertise with computer assisted legal resources required

• Experience using ECF/Pacer

• Must exhibit well-developed interpersonal and client relation skills

• Exceptional verbal and written communication skills required

• Excellent organizational skills

• Must be able to effectively multi-task, meet deadlines and excel in a team atmosphere

• Military experience a plus
