Job Description

We are looking for a front desk receptionist for our office located in Hoofddorp. In this role, you will work in an office environment, interacting with visitors, employees, and delivery personnel, and ensuring a good atmosphere for everyone.

This position begins at 8:00 AM, Monday to Friday, with no weekend hours required. We offer a degree of flexibility in weekly scheduling and are able to accommodate part-time or near full-time availability.

Key responsibilities

Reception & Visitor Coordination

  • Front Desk Support: Greet visitors warmly, answer general questions, and ensure the reception area remains tidy and welcoming.
  • Visitor Coordination: Ensure proper check-in and registration, verify visitor identities, issue badges, and confirm appointments. Follow security protocols by restricting unauthorized access and notifying appropriate personnel when necessary.

Administrative & Office Support

  • Administrative Support: Assist with scheduling appointments, sort and distribute incoming mail, and assist with outgoing mail as needed. Answer and route incoming calls to the appropriate person.
  • Parcel Handling: Receive deliveries and ensure they are stored in the correct location and direct truck drivers to the relevant personnel.
  • Office Supplies: Monitor office supply levels (e.g., pens, paper, coffee) and reorder when necessary.
  • General Support: Lend a hand with light duties like unloading the dishwasher to keep the shared kitchen area tidy (no dishwashing required).

Qualifications

  • Computer Proficiency: good computer skills, basic usage of MS Office (Word, Excel, Outlook).
  • Communication Skills: Good verbal and written communication skills in English (proficiency in additional languages, such as Dutch, is a plus).
  • Attention to Detail: Ability to maintain accurate records, ensure proper visitor check-in, and handle office supplies and mail with care.
  • Physical Requirements: Ability to lift light parcels or deliveries.
  • Previous experience in hospitality, front desk, customer service, or a similar role is a plus, but not required.
