Job Description

The  Payroll Analyst will be responsible for all payroll related functions for all employees within North America. Additionally, reporting to the North American Payroll Manager, the Payroll Analyst will collaborate with payroll functions outside of North America as it relates to the coordination of ex-patriots and payroll procedures for Sarbanes Oxley compliance.  ADP experience is required.

ESSENTIAL RESPONSIBILITIES

North American Payroll Responsibilities:

• Ensure accurate and complete biweekly payroll processing of North American Payroll. This includes entering and maintaining employee information, hours and/or earnings for biweekly payrolls, auditing the information entered and distributing payments to employees and third party vendors.

• Ensure employee records are maintained accurately and consistently in both the HRIS Workday System and ADP PCPW.

• Ensure Wage Garnishment requests for Employer Information are responded to timely and Wage Garnishment payments are entered and maintained accurately in ADP.

• Ensure records are provided timely and accurately to third party vendors for all benefit programs, including 401k distributions, Flexible Spending Accounts and Commuter Benefits Program.

• Ensure federal, state and local income and unemployment tax compliance with ADP and all authoritative bodies. This includes updating SUI tax rates, opening new tax jurisdictions when necessary and closing jurisdictions no longer in use.

• Ensure year-end process is completed and W-2s issue timely and accurately. This includes reviewing quarterly/annual wage and tax reports for accuracy, correcting employee wages and/or taxes using OOS or adjustment payrolls and previewing W-2s to ensure they are correct.

• Provide journal entry files to Accounting. This includes identifying inconsistencies and reconciling payroll accounts to minimize adjustments at month-end or year-end.

• Provide payroll reports on an as needed bases using ADP Report Smith or Microsoft Access.

• Ensure accurate/complete employee labor and payroll records/reports in accordance w/ company policy and labor regulations.     

• Oversee the updating of payroll processes for SOX404. Provide information to internal and external auditors as requested.

• Designated contact between retail stores and corporate headquarters to resolve all payroll related issues.

• Recommend changes in Payroll policies and procedures to continue to improve inefficiencies with the department.

• Other duties as requested. 

Qualifications

Knowledge, Skills and Abilities:

  •  10+ years of payroll experience
  •  Associates Degree or higher preferred
  •  Experience with a multi-site, multi-state company required
  • Exceptional technical knowledge of US Payroll using ADP systems required
  •  Knowledge of payroll processing for NA ex-patriots and in-patriates preferred
  •  Above average computer skills using Microsoft suite of products, especially Excel and Access
  •  Strong customer focus with an ability to build effective relationships and establish trust, respect, and confidence
  •  Ability to quickly and creatively analyze and provide solutions to complex challenges
  •  Unquestionable ethics and integrity with assertiveness, presence, and self-confidence
  •  Above average project and time management skills
  •  Must be extremely detail oriented
  •  Must be flexible with hours
