Events Manager

EF High School Exchange Year

Cambridge, MA

 

Working closely with the training and development team, the Events Manager is an outgoing, organized, energetic individual who is responsible for the successful planning, scouting, executing and reconciliation of all major events for EF High School Exchange Year.  These responsibilities range from small, in-office events for full-time staff to convention-style events for up to 1000 independent contractors.  S/He will be responsible for all operational, implementation, and post-activities. 

 

Specific duties include:

  • Manage all aspects of each destination from location recommendations, to submission of RFPs, to budget management and finally on-site logistics
  • Serve as the primary contact for attendee travel information and field staff questions
  • Manage the attendee registration and flight process for all meetings associated with High School Exchange Year
  • Liaising with the hotel contact regarding meeting space, rooming lists, BEOs, A/V, etc.
  • Adhere to all budgets and negotiate food/beverage/transportation;/a/v rates with the vendors
  • Work to coordinate all content and printed material necessary for the event; work closely with team members to ensure the proper award system for incentives associated with these events
  • Run monthly staff meetings in conjunction with the Director of Training & Development
  • Solicit feedback for all meetings, share findings, and make future recommendations based on these findings

 

Job requirements:

  • 1-3 years of corporate event management experience
  • Proven success in contract negotiation
  • Proficiency in Amadeus or other flight management software strongly preferred
  • Advanced skills in Microsoft Excel strongly preferred
  • Ability to problem solve and work independently in a high-pressure environment
  • Ability to influence and coordinate the efforts of other staff to support each event
  • Previous budget management experience
  • Strong written and verbal communication skills with the ability to interact with many different audience types to cater to specific needs
  • Willingness to travel both domestically and internationally (approximately 15%)
