Job Description

The Sr. Travel Manager will support the Senior Director of Retreats and Member Experiences with managing the planning, logistics and execution of a curated collection of domestic and international active travel itineraries and will assist with other projects in line with elevated member experiences.

A successful candidate will have domestic and international travel experience, a love of the outdoors (hiking, biking, etc.), highly polished written communication skills, and experience with high-end event planning. Candidates with foreign language skills (particularly French and Spanish) preferred.

 

RESPONSIBILITIES:

  • Assist with overarching departmental strategies
  • All high-level Day Trip Manager roles and responsibilities as detailed below until hire date of Experience Manager
  • Review Day Trips operations with an eye for increasing productivity and efficiencies and reducing costs
  • Work with DO on development and implementation of automated systems
  • Assist with January, 2019 hiring of Day Trip Manager
  • Assist Marketing team with development of initial marketing / launch plan and continue to refine communication strategies
  • Manage master departmental timeline and project to-dos, example 02/15/18 Amex final itin due
  • Oversee key internal and external resources (travel writer, digital designer, etc.)
  • Prepare monthly report on status of sales, upcoming hotel confirmation / cancelation dates
  • Support Lead Trip Planner with travel specific research
  • Ideate on Corporate trip planning and strategize road map to execution
  • Work with internal departments (GF, PT, TX, Spa, etc.) to include key EQX programming on all itineraries
  • Review vendor / hotel / supplier contracts and make initial recommendations in advance of passing to legal / insurance teams
  • Develop key partnerships opportunities and oversee implementation of partnership deliverables
  • Develop sales plan and move to execution, including referral program and commission
  • Develop customer retention / loyalty strategies
  • Additional point of contact for sales inquiries in initial stages
  • Assist with development of CRM strategy and execution
  • Develop calendar of in-club events (class takeovers, etc.) to stimulate sales
  • Develop quality control system for prompt handling of issues / complaints
  • Manage all trip feedback, actioning follow up as needed
  • Assist with preparation of effective training materials
  • Oversee instructor / guide selection and training
  • Act as primary point of contact for website design agency during build and beyond
  • Other responsibilities as defined by Senior Director

Qualifications

  • 1-2 years of experience in travel industry and / or destination events
  • Bachelor’s degree or a demonstrated curiosity about the world and desire to learn
  • Outdoor experience, biking, hiking, water sports, etc.
  • Hospitality experience, particularly luxury market, preferred 
  • Highly polished communication skills, skillful writer and researcher
  • Strong knowledge of geography and international and domestic destinations
  • Strong Microsoft Office experience especially with Excel, Word, PowerPoint
  • Beginner to intermediate experience with Photoshop and/or AutoCad preferred
  • Responsible and highly organized, with an ability to prioritize time-sensitive assignments
  • Written and spoken foreign language skills (particularly French and Spanish) preferred
  • Impeccable taste, knowledge of quality food and beverage
  • Finger on the pulse of trends in fitness, health and wellness, fashion, food and current events
  • Solutions & detail oriented, multi-tasker
  • Proactive and bold; takes initiative and follows-through reliably, deadline driven, creative problem solver
  • Naturally curious
  • Poised, polished, and professional
  • Ability to work flexible hours to accommodate trip schedules
  • Ability to travel for pre-trip site visits and trips, including occasional weekends
  • Team oriented, with a friendly, flexible outlook
  • Experience managing guest lists 
  • Valid driver’s license and valid passport required
