Job Description

  • Monitor the Accounts Payable inbox on a daily basis to ensure that all invoices and other vendor communications have been addressed.
  • Process complex vendor invoices with accuracy.  Verify and match vendor invoices to purchase orders and obtain appropriate payment approval.
  • Monitor vendor statements and respond to vendor inquires, as needed. 
  • Resolve purchase order, contract, invoice and payment discrepancies through proactive communication with Procurement, end-users and the vendor.
  • Monitor the open purchase order list to identify and resolve problems on a timely basis
  • Process employee expense reports and corporate credit cards
  • Assist with preparing 1099 filing at year-end
  • Assist with the monthly use tax return
  • Assist with AP invoice accruals
  • Support SOX 404 compliance process for accounts payable. Assist with SOX and financial audits as needed
  • Assist with the month-end close process
  • Assist with accounting and purchasing system upgrades and process improvements
  • Maintain vendor files thoroughly and accurately, in accordance with company policy
  • Assist with other ad-hoc requests or projects as needed.


  • Associate degree in Accounting or similar disciplines
  • Minimum 2 years of hands-on experience in processing in payable environment with purchase orders through 3-way and 2-way match transactions
  • Good mastery of Microsoft Excel skills (Basics, no pivots, etc. required)
  • Strong organizational, analytical and excellent problem-solving skills
  • Experience with reviewing 1099’s forms
  • Experience with expense report review and coding
  • Excellent written and interpersonal communication skills, especially with vendors and internal employees via email and phone
  • Ability to effectively prioritize multiple projects to meet tight deadlines and produce high quality work in a fast-paced environment
  • Ability to collaborate and work effectively with internal and external customers
  • Detail-oriented, ability to work independently and take ownership of projects
  • Experience in life science companies is desirable, but not required.
  • Excellent working knowledge of ERP systems, such as Microsoft D365, Dynamics AX, Netsuite, SAP Business One, Concur, Point Purchasing or similar systems
