Job Description

Provides administrative/secretarial support for Directors, AVP, Associate deans VP's, Chairs and Professor/Faculty.
Prepares all correspondence, reports, presentations, and manuscript Schedulaes and maintains calendars and makes travel arangements. Assists with tracking budgets. Maintains financial and human resources systems. Screen calls and greets visitors. Other Duties as assigned.

Prepares all correspondence, reports, presentations, and manuscripts needed by executive. This includes organizing travel as far as corresponding for travel and preparing the agenda.
Schedules and maintains calendars and coordinates related arrangements in compliance with all University, governmental, and/or grant policies and guidelines. This includes organizing lab meetings and conference room schedule, as well as schedule for Dr. Milewicz.
Ensures smooth communication and coordination with other internal and external groups, such as AHA, Baylor, AAMC, etc. Sets up national and international phone and video conferences.
Puts together Supply orders and non-PO voucher requests and gets proper approvals and checks to ensure fund availability.
Screens calls and receives and directs visitors to the executive or the executive office
Prioritizes mail, phone calls, and meetings for executives
Resolves complex inquiries and questions
Schedules meetings, rooms, invites participants, arranges refreshments and equipment as needed.
Works closely with Genetic Counselors and JRRP program. May work on special projects for JRRP and attends and provides minutes for JRRP meetings
Backs up and supports other staff as needed. Keeps various office areas clean, neat and organized. Performs other duties as assigned
Good communication skills both written and verbal
Sound knowledge of standard office software packages
Preferred able to type at 60 words per minute
High School diploma or equivalent. Associate’s degree or Bachelor’s degree preferred.
