Job Description

IDEO.org is seeking a highly motivated Program Coordinator to join our Health XO team in San Francisco. As part of a dynamic and multi-disciplinary design team, you’ll provide administrative and operational support to the Health XO program–our portfolio of work which focuses on the design of sexual reproductive health solutions for teens. This position is an amazing opportunity for a highly proactive, collaborative, creative, and engaged personality.

As a successful candidate, your happy place is when you’re helping to organize the chaos and working to keep the team connected, organized, informed, and sane with the tools, systems, and behaviors that streamline our process and workload. This position is right for you if you’re interested in human-centered design, building a career in the social sector, and are a real go-getter willing to roll up your sleeves and get things done. You’re a quick learner, detail-oriented and thrive in a self-directed environment.

You Will:

  • Manage day-to-day coordination and logistics for the Health XO program
  • Provide administrative support for the team, including organizing travel, processing invoices, tracking expenses, and maintaining Salesforce
  • Create and maintain internal systems that allow the team to work and share knowledge efficiently
  • Collaborate with the IDEO.org community to bridge and develop org-wide systems and processes
  • Coordinate logistics for Health XO-related events, convenings and team offsites, including activities related to team wellness
  • Work with our finance and project teams to coordinate the on-time delivery of financial reports, project narratives and updates to funders. Support in writing and/or editing the reports as needed
  • Support partnership development by, for example, building out and maintaining a database of relevant funding opportunities
  • Maintain a calendar of upcoming proposals, and ensure the team meets critical deadlines for grants, awards, and contests

Qualifications

You Are:

  • A self-starter with a bachelor’s degree and 2+ years of relevant experience in project management, administration, or a related field
  • A coordination maven who enjoys being immersed in the details
  • A time and project management guru, capable of balancing multiple and changing priorities
  • Enthusiastic and bring a positive mindset to even the toughest challenges
  • Skilled and efficient at performing administrative tasks and using various computer programs (Google apps, MS Word, Excel, Salesforce, etc). Experience working with Adobe Creative Suite is a plus.
  • A champion of design thinking and it’s impact on poverty alleviation challenges around the world.
