Job Description

Job Summary:

We are seeking a proactive and detail-oriented Procurement Project Coordinator to provide essential administrative and operational support to the Procurement team. This role is key to ensuring the team is set up for success by managing day-to-day coordination tasks, maintaining organized records, and supporting effective communication across procurement functions. The successful candidate will thrive in a fast-paced environment, possess excellent organizational skills, and build strong working relationships with internal stakeholders and external suppliers. Shift availability is required based on business needs.

Key Responsibilities:

  • Administrative Coordination: Support the Procurement team with calendar management, meeting scheduling, document preparation, and tracking of key action items to ensure seamless team operations.
  • Data Entry & Record Maintenance: Accurately input and maintain procurement-related data across systems and databases, ensuring all information is up-to-date, compliant, and easily accessible.
  • Reporting & Presentation Support: Prepare reports, presentations, and summaries for internal use and supplier meetings using Microsoft Excel and PowerPoint, ensuring information is clear and professional.
  • Team & Project Support: Assist in coordinating project activities, helping the team stay on schedule and aligned across departments. Monitor project timelines and follow up on outstanding deliverables.
  • Stakeholder & Supplier Coordination: Act as a point of contact to help organize and track communications with external suppliers and internal stakeholders. Facilitate information flow and support relationship management efforts.
  • Meeting & Event Logistics: Organize team meetings, supplier business reviews, and project check-in-preparing agendas, taking notes, and ensuring timely follow-up.
  • Continuous Improvement Assistance: Support process improvement initiatives by identifying administrative bottlenecks and contributing to the implementation of more efficient workflows.
  • Support for Special Projects: Provide administrative assistance in the execution of strategic procurement initiatives and cross-functional projects as needed.

Qualifications

Must be able to work US Shift - 3 PM to Midnight 

Qualifications:

  • 2+ years of experience in an administrative, coordination, or support role—experience in a procurement or supply chain environment is a plus.
  • Proficient in Microsoft Office Suite, especially Excel, Word, and PowerPoint.
  • Strong organizational skills with attention to detail and the ability to prioritize multiple tasks.
  • Excellent communication and interpersonal skills.
  • Discretion and professionalism in handling confidential information.
  • Flexible and adaptable to shifting priorities and time-sensitive tasks.
