Job Description

The Executive Assistant provides personal administrative support and assistance to enhance the effectiveness of ITEC Entertainment’s President as well as other executives including the Director of Corporate Development and Marketing. The Executive Assistant’s primary role is to enhance executive effectiveness by providing information management support and by representing ITEC’s president and executives to others.

This is a temporary position which could lead to permanent employment depending on job performance.

Essential Duties

  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Assist with the planning and implementation of marketing activities.
  • Expeditiously answers and responds to phone inquiries and provides backup phone support to front office clerical team.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Serves as brand ambassador and first point of contact for online and in-person sales inquiries from leads and prospects.
  • Completes assignments and follows up on results.
  • Other duties as assigned.

Qualifications

Required Knowledge, Skills and Abilities

  • Thorough Knowledge of Business English, Spelling and Grammar.
  • Exceptional Communication Skills and Polished Telephone Etiquette
  • Very Detail Oriented with Strong Organizational Skills
  • Proficient with Scheduling and Associated Software Such as Outlook Calendar
  • Proven Microsoft Office Abilities with Emphasis in Excel, Word Outlook and PowerPoint
  • Thorough Understanding and Experience with Travel Logistics and Planning
  • Demonstrated Accuracy in Data Entry, Tracking and Reporting
  • Experienced in Providing Executive-Level Support
  • Must be able to maintain an 9 a.m. – 6 p.m., Monday through Friday work schedule.

Education and Experience

  • Two to three years of clerical experience is preferred.
  • Associate’s degree preferred
  • Minimum of three to five years providing executive level support

Working Environment

  • Office environment. Work requires some visual strain.
  • Work requires ability to handle multiple tasks at once.
  • Overtime may be required as needed.
