The Homeland Defense and Security Information Analysis Center (HDIAC) is looking for an administrative assistant to support the Director and HDIAC staff. HDIAC is a Department of Defense (DoD) organization responsible for helping the government solve its toughest scientific and technical problems. HDIAC provides information and collaboration to various communities, and establishes, provides, and maintains extensive data of existing scientific and technical information (STI) to DoD organizations, federal, state, and local governments, as well as academia and industry. Job Description

Position Summary – Purpose of the Job

The Administrative Assistant performs a variety of associated administrative, fiscal, staff support, and planning activities. This position requires proactive communication by interfacing daily or as needed with customers, administrative staff, and management to understand the administrative requirements of the department and how to accomplish those tasks.

Position-Specific Duties:

  • High-degree of confidentiality
  • Assists with reports, graphics, correspondence, and proposal production
  • Provides administrative support functions including development of schedules, meetings and agendas, travel arrangements, and other duties as may be required
  • Provides or oversees support activities such as answering telephones, assisting and resolving customer problems, and review and control of incoming and outgoing correspondence.
  • Schedules appointments and maintains calendars
  • Researches information, compiles statistics, and gathers various data
  • Prepares special and/or one-time reports, summaries, or capability statements
  • Prepare correspondence, spreadsheets, organizational charts, presentations, or other documents as requested
  • Process purchase requests as required
  • Communicate and interact regularly with internal customers, external customers, and co-workers to ensure that administrative tasks and projects are completed satisfactorily
  • Office maintenance and supply requirements
  • Other responsibilities as needed

Qualifications

Education, Training, and Other Qualifications:

  • Requires a high school diploma or equivalent

Experience Required:

  • Requires three years of experience directly related to administrative duties in a government contractor environment

Knowledge, Skills, Abilities:

  • Knowledge of commonly accepted administrative support concepts, policies, practices, and procedures
  • Skilled in the use of personal computers
  • Skilled in the use of MS Word, MS Excel, MS Outlook, Adobe Acrobat, MS PowerPoint, and MS Access
  • Skilled in database management and records maintenance
  • Ability to communicate effectively, both orally and in writing
  • Ability to make administrative/procedural decisions independently
  • Skilled in organizing resources and establishing priorities
  • Ability to handle multiple projects and priorities
  • Ability to meet commitments, works independently, and set personal standards.
  • Ability to meets deadlines and responsibilities.
  • Ability to handle confidential information and exercise discretion.

Physical Abilities:

  • Ability to sit for long periods.
  • Ability to view a computer monitor for long periods.

Other Information:

  • This position requires the ability to obtain and maintain a Secret Security Clearance, which requires US Citizenship.
