Job Description


Innocent Oil & Gas Refinery, East-Montreal seeks the services of self motivated and passionate Oil & Gas HR administrative Assistant. The employee shall be reporting to an HR Advisor, and will be responsible for a full range of professional HR administrative support as part of the busy Human Resources team. The successful candidate will be responsible for drafting terms and conditions, preparing letters, joiners and leavers process, taking minutes in meetings, completing reference checks, raising purchase orders and liaising with Occupational Health for medical advice and appointments. You will also receive full training to become one of the ‘super users’ of the new HR system being implemented in August. This role may also provide administrative support for employee benefits, immigration, monthly metric reporting, recruitment, ordering stationery supplies, ensuring that filing and archiving systems are maintained and any other duties as required. Job Requirement:

Graduate level offer. A minimum 3years work experience required., The successful candidate will be proficient in Microsoft Office especially Word and Excel as there will be a need for regular data entry and review within the role. Good organizational, planning, attention to detail and time management skills are also be required. Previous Human Resources administrative experience is desirable. Candidates will be studying towards CIPD or be willing to do so and will be comfortable working in a fast paced environment with a varied and busy workload. Due to the nature of the role, it is essential that the selected candidate has the ability to maintain absolute confidentiality and discretion at all times. Key responsibilities will include: 
*Administration of Employee New Start, Induction, Probation and Leaver processes in accordance with defined requirements and relevant legislation. 
* Ensuring electronic and paper employee files are accurate. 
* Supporting department with collection, analysis and reporting of HR data as require. 
* Ensuring all administration processed comply with requirements and HRIS system is accurately maintained.
* Arranging employee occupational health referrals as required. 
* Providing support in investigations for disciplinary and grievance issues. 
* Providing support with maternity, paternity, adoption, parental leave and flexible working queries and process all requirement documentation and records. 
* Providing input and support to HR initiatives and projects as required. 
* Ensuring all absences, including sickness are reported and accurately recorded, flagging where investigation levels have been reached.
