Job Description

Right now we are setting up an Competence Allocation function to support the Assignments in IKEA Communications, and we are looking for Competence Allocation Specialists.   

The Competence Allocation team is a new function to support the IKEA Communications assignments and projects with efficient ways of making conscious choices of internal and external competences into high performing versatile teams, delivering to all project needs and expectations.

As Competence Allocation Specialist you will be responsible for ensuring assignments are setup for success by securing the allocation of the right competence at the right time and cost in the different stages of the communication development process.

Examples of responsibilities in this role could be:

  • In close collaboration with assignment areas you define and set clear expectations on the level of competence expertise required to meet and deliver to assignment demands. 
     
  • Together with your colleagues coordinate the planning of internal/external capabilities across all assignment and competence areas. You are also enabling the necessary dialogues to build and maintain an up-to-date competence base for efficient competence allocation.
     
  • Handle all day-to-day competence allocation activities of existing and incoming assignments in an efficient and timely matter, prioritising as needed.
     
  • Prepare regular analysis and reports of competence availability, potential instances of underutilization, billable hours, capacity forecast and competence gaps for ongoing/upcoming assignments.
     
  • Explore and evaluate multiple team set-up alternatives from the competence base, identifying the best possible team constellations to meet the competence needs of incoming assignments.

Qualifications

Our Competence Allocations Specialists are people who are passionate about creating results and business impact by efficient communication that will make a difference for the IKEA customer. Structured and organized people who enjoy both tactical and hands-on work with operational excellence in mind. People who find great motivation in supporting, structuring, organizing and enable teams achieve and develop, driving results, and excited about delivering great work.

You'll need:

  • Experience working with creative agencies, campaigning and/or communication development organizations for big brands.
  • Experience implementing and managing internal tracking and report processes, including staff utilization tracking and capacity forecasts.
  • Experience in creating budget quotations.
  • Knowledge in project management and project management methods and tools.
  • Experience working in a multi-cultural, creative, and inclusive work environment.
  • Fluency in English, spoken and written.
  • Experience in stakeholder management and great interpersonal skills used in situational based problem-solving.
