Job Description

Interlochen Center for the Arts, one of America’s most prestigious institutions for arts education, performance and fine arts presentations seeks to hire an experienced professional with excellent writing organizational and administrative skills to manage the operational and administrative functions of the Advancement Department. 

 

The Advancement Operations Manager reports to the Vice President of Advancement and will be primarily responsible for proactively managing the daily operations of the Advancement Office.  This position will work closely with the Associate Vice President of Advancement and other team members to ensure seamless coordination across the department.

 

The ideal candidate has experience in managing donor/prospect databases effectively, possess strong analytical skills as Interlochen begins the early phases of a comprehensive campaign, is organized, detail oriented, able to multitask, and directed at getting things done in a faster than average work pace.  The ability to function on a MAC operating system, utilize Google Docs, Salesforce or a similar customer relationship management platforms is important.

 

Essential Responsibilities/Principal Activities:

 

  • Direct and proactively assist the Vice President in management and coordination of the advancement department operations. 

 

  • Monitor and implement internal structures and processes to meet objectives and manage day to day operations.

 

  • Provide critical centralized support for various Advancement Department programs and staff, this includes detailed Salesforce reports and analysis.

 

  • Create, edit and refine written materials including correspondence, proposal and gift agreements.

 

  • Assist with the management and support of high-level volunteers, including trustees and major donors.

  • Supervise the Executive Administrative Assistant, providing training and support, as well as ensuring best practices are followed.

 

  • Provide coordination and support for the wide range of fundraising activities undertaken by Interlochen Center for the Arts.

Qualifications

  • Excellent time and project management skills and the ability to set priorities and handle multiple projects and tasks simultaneously in a fast-paced environment.

 

  • Ability to train, motivate and mentor the Administrative Assistant.

 

  • A high level of attention to detail and follow through required as well as good judgment and sensitivity of confidential information.

 

  • Must be able to work occasional evening and weekend hours as well as be available for occasional communications outside of normal office hours.

 

  • A bachelor’s degree required, preferably with evidence of high academic achievement as well as at least ten years of relevant professional experience.

 

  • Demonstrated knowledge of and experience with customer relationship management/database systems.

 

  • A background in fundraising, arts and/or arts management helpful but not required.
