Job Description

SUMMARY:·( Minimum 2-3 evenings per week required.)        

Perform responsibilities under general and direct supervision of the Physical Therapist Director. Provide supervision and training to the Patient Representative· Coordinate and ensure timely and accurate processing of the daily front desk procedures



  • Ensure appointment and scheduling practices are followed properly
  • Schedule, greet, and escort patients and visitors to the appropriate areas of the clinic
  • Confirm and explain patient financial responsibility to the patient and/or family
  • Process payroll accurately and according to procedures
  • Oversee the collection of required insurance co-payments, document in the computer system, and reconcile to the daily schedule
  • Ensure and approve accurate daily receipt reconciliation and preparation for banking purposes
  • Deposit daily receipts at the designated bank
  • Oversee incoming phone calls and clinic visitors to ensure accurate, timely, and positive communication, facilitation, and presentation
  • Coordinate and maintain patient extended authorizations and updated prescriptions to ensure proper treatment and billing procedures
  • Maintain appropriate records, filing, and archive system for expeditious information retrieval
  • Coordinate proper ordering of clinical supplies, office supplies, and other needed materials
  • Demonstrate regard for the dignity and respect of all patients, family members, staff, and visitors
  • Respect and understand the patient’s right to treatment and involvement in treatment decisions
  • Maintain and oversee proper attendance and punctuality of non-clinical staff to ensure that the clinic is operated in an efficient and cost-effective manner
  • Perform daily walk through of clinic to maintain “Clean Audit” policies and procedures
  • Adhere to all HIPAA regulations regarding patient confidentiality and recordkeeping
  • Route charts and records to appropriate areas in a timely and accurate manner
  • Maintain and notify the Central Business Office of all changes in patient demographics, diagnosis, and any other pertinent information in an accurate manner
  • Maintain proper, courteous, and helpful telephone etiquette
  • Monitor  Patient Representative’s proper, courteous, and helpful telephone etiquette
  • Assist Physical Therapist Director, Physical Therapists, etc. as needed
  • Demonstrate efficient time management allowing for flexibility and the ability to work as a team member and in an organized manner
  • Attend offsite Regional meetings as needed
  • Perform other diverse duties as requested or required




  • 2-5 years administrative/ office experience in medical field
  • PT office experience preferred, but not required
  • Some college coursework preferred, preferably in healthcare
  • Proven exceptional customer service and patient care experience
  • Experience in insurance verification and authorization procedures
  • Self-motivated with the willingness to exceed patient expectations
  • Demonstrated adaptability and flexibility with changes in workload
  • Ability to work in a fast paced environment while maintaining a positive attitude
  • Strong oral and written communication skills
  • Strong multi-tasking skills and ability to work well under pressure
  • Previous experience using Microsoft applications (Excel, Word and Outlook programs)
  • Must be willing to work flexible shifts including weekends
