The Jewish Federation of the East Bay and The Jewish Community Foundation are dedicated to building a vibrant and inclusive local Jewish community and to enhancing the well-being of Jews in the East Bay, Israel, and throughout the world. The Federation’s Annual Campaign raises approximately $3 million to support programs, initiatives and organizations critical to a strong Jewish community. Our goal is to create a cutting edge, donor-centric next generation Federation. The Jewish Community Foundation, a $125 million charitable organization houses endowment funds that benefit the Jewish Community Federation and other local Jewish non-profit organizations. The Foundation also holds more than 200 donor-advised funds and is the umbrella for nearly a dozen supporting foundations. 

Job Description


The Office Manager will be responsible for delivering excellent organization-wide customer service, security, and coordinating office management practices. This is an ideal opportunity for someone who has strong attention to detail and the ability to pick up concepts quickly. This is a full-time, non-exempt position that reports to the Director of Operations and Finance and supports the Chief Financial officer. The office manager also works closely with the Executive Assistants to ensure comprehensive office support


Responsibilities include but are not limited to:

• Support employee on-boarding and off-boarding processes for technology components including phone, scheduling, hardware procurement, set up and building access


• Coordinate with outside vendors to provide excellent customer service for all staff technology issues and troubleshooting including hardware, systems and phone


• Build out process documentation, and make recommendations for process improvements


• Coordinate facilities management for headquarters - manage central phone and email, process mail and checks, maintain office supply inventory, manage shared technology, manage meeting spaces, and coordinate with building management to troubleshoot issues


• Develop office management resources to include recommended vendor list, procurement protocols, security protocols and office orientation manuals


• Implement best practice office management processes and policies


• Front Desk Reception 


• Successfully plans, manages, and executes all aspects of high-level special projects, as assigned. 


• Works with the administrative support to provide support for meetings, employee bonding and appreciation events and other company events & projects.


• Provide administrative support to the Operations and Finance departments.


• Accounts Payable and report generation as needed. 



Knowledge, skills, and competencies: 

Excellent skills in Microsoft Office, excellent analytical, communication, and time-management skills; ability to identify business issues and contribute to decisions; ability to work in an organization concerned with all aspects of community support and development. Excellent attention to detail as well as the ability and eagerness to learn new skills. Familiarity with accounting software and reporting is preferred.

Qualifications

• 2-4 years of professional experience; Bachelors degree required


• Demonstrated experience balancing multiple commitments and adapting effectively in a fast-paced environment


• Strong organizational skills and with understanding of project management principles and processes


• Strong aptitude for working with details, executing effective error-checking, and delivering high-quality work products


• Strong interpersonal and communication skills
