The Jewish Federation of the East Bay and The Jewish Community Foundation are dedicated to building a vibrant and inclusive local Jewish community and to enhancing the well-being of Jews in the East Bay, Israel, and throughout the world. The Federation’s Annual Campaign raises approximately $3 million to support programs, initiatives and organizations critical to a strong Jewish community. Our goal is to create a cutting edge, donor-centric next generation Federation. The Jewish Community Foundation, a $125 million charitable organization houses endowment funds that benefit the Jewish Community Federation and other local Jewish non-profit organizations. The Foundation also holds more than 200 donor-advised funds and is the umbrella for nearly a dozen supporting foundations. 

Job Description

This position provides administrative support for senior staff and the organization’s meetings and events. The position is also responsible for calendar management, travel arrangements and development and coordination of organizational systems and procedures relating to events and meetings.

This position will report to the Director of Leadership Development and also provide support to the CEO and other Directors as needed.

Major Responsibilities: 

1. Provides administrative support for senior management and planning for all Federation board meetings, events and training including communication, minutes, room set-up, meals and logistics.
2. Coordinates event planning and logistics including site research, site visits, venue and menu selection, pricing analysis, entertainment and décor.
3. Organizes and maintains CEO calendar.
4. Processes monthly expenses and credit card account reconciliation.
5. Reviews vendor proposals and contracts and processes payment invoices.
6. Makes hospitality arrangements for meetings, conferences and events for travel, lodging and meals.
7. Ability to understand and manage budgets for event and meeting planning.
8. Attends on and off-site meetings and events to serve as liaison to vendors and department heads.
9. Maintains organized event and meeting files and prepares post-event summaries.
10. Follows up with potential speakers, panelists, artists and/or entertainers.
11. Other departmental projects and administrative support as needed.

Qualifications

1. Bachelor’s degree, two years administrative experience with meeting/event planning experience preferred.
2. Strong MS Office experience, time management, attention to detail and organizational skills.
3. Demonstrated ability to work independently and within a team on multiple projects.
4. Resourceful, proactive, positive, exemplary customer service and ability to develop relationships with staff, board members, donors and community partners.
5. Ability to work a flexible schedule based on meetings and events including nights and some Sundays.
6. Excellent oral and written communication.
7. Familiarity with kosher dietary laws is a plus.


Physical Demands: 

1. The office work is largely sedentary. It requires significant computer work- hand dexterity and vision are required.
2. Event management will include the ability to lift up to 25 lbs., load, and push and pull tables and chair carts. Bending, squatting, and overhead lifting is required.
3. Walking and standing for up to eight hours is required.
