Job Description

This is an incredible opportunity for a master multi-tasker and communicator whose outstanding organizational skills will enable him or her to manage complex calendars, schedules, email inbox, expenses, and travel itineraries for MentorMate's CEO. As the Executive Assistant, you will act as the first point of contact and establish positive relationships with high profile contacts as you direct incoming calls and correspondence, facilitate meetings and address up-to-the-minute office needs. Excellent judgment, diplomacy, high level of confidentiality and attention to detail will be essential to liaise with the Leadership's close personal contacts and take ownership of diverse special projects. The ability to manage intricate details, solve problems independently and adapt to changes in a fast-paced environment will be essential to your success in this exciting, hands-on role!

Qualifications

Executive Assistant Qualifications:

  • BA or BS degree in a relevant field of study
  • 1 year of experience in an administrative support role; background in a fast-moving corporate environment is a plus
  • Savvy with experience managing external vendors and scheduling meetings at outside locations
  • Confident, polished and energetic self-motivator; eager to "jump in" and assist wherever needed
  • Collaborative, team-oriented, and able to establish an instant rapport with important contacts and senior executives
  • Highly organized with a meticulous attention to detail; excellent ability to juggle competing assignments and interests with accuracy and minimal supervision
  • Positive and customer service-oriented; takes a creative, proactive approach to problem-solving and stays ten steps ahead
  • Advanced proficiency with Google Calendar and Google Docs
  • Strong knowledge of MS Office, including Word, Excel, and PowerPoint
  • Proficient experience in booking multiple executive travel plans
  • Must have a "by any means necessary" attitude
  • Light hearted with a sense of humor
  • A valid driver's licence

Responsibilities:

  • Provide executive administrative assistant support to MentorMate's CEO
  • Manage heavy scheduling in a constantly changing environment
  • Arrange travel for CEO and other executives
  • Submit expense reports monthly
  • Document management, preparation and support preparing letters, spreadsheets and presentations

  • Act as initial ‘ambassador’ triaging incoming requests
  • Monitor, filter, organize and prioritize executive emails and inbox

  • Manage executive calendars and coordinate project deadlines
  • Facilitate meeting coordination internally and externally
  • Substitute for Office Assistant lunch breaks and when absent

  • And any other administrative tasks upon request.

Compensation: $38,000-$42,000 per year
Location: Minneapolis
Travel: 0-20%
Hours: 8:00am to 5:00pm, M-F (with flexibility as needed)
