Job Description

MentorMate is looking for a personable Office Assistant to work at the front desk. This position is responsible for taking calls, welcoming guests, keeping the office neat and tidy, booking company travel, and other administrative tasks. This is an entry-level position.

Qualifications

  • High School Diploma or equivalent
  • Valid Drivers License / Authorization for employment in the U.S.
  • Customer service, telephone and computer skills
  • Cheerful presence and people skills
  • Self-motivated, proactive and ability to work in a fast-paced environment
  • Exceed the highest standards of integrity and business ethics especially when handling confidential information
  • Travel coordination experience is a plus

Schedule

Full-Time, 7:45am to 5:15pm 


Duties and Responsibilities

  • Welcomes and greets visitors and administers appropriate access levels with a friendly, outgoing personality
  • Answers, screens and directs incoming phone calls
  • Runs errands, maintains office supply inventory
  • Ensures coffee/water/beverages are available at all times for visitors and for staff
  • Manages hard copy and electronic files and records - includes scanning and retrieving corporate documents, records and reports
  • Sorts and distributes incoming correspondence, including faxes, email and standard mail
  • Maintains organized office area, including light cleaning in common areas
  • Coordinates and books travel arrangements for employees
  • Supports Administrative Assistants and substitutes during absences
  • Additional tasks as requested
