Job Description
Position Overview:
This job exists to serve the needs of the business by supporting the delivery of all People & Culture and Learning & Development activities for Anantara Vacation Club colleagues in China. This includes AVC Preview Operations, Club Operations, Marketing Operations and Call Centres in Shanghai, and others to be confirmed.
You should work closely on a day-to-day basis with business operational colleagues, leaders and People & Culture team members in China.
Key Responsibilities:
Note that this is not an exhaustive list of everything that needs to be done. The key job responsibility is to always look after the business, and our colleagues. Within this, the key responsibilities for this position are:
- To implement People & Culture operational policies and procedures, corporate policies and procedures on compensation and benefits, ensuring that these are followed by all team members
- To advise operational leaders about all matters relating to Labor Law in China, and local policy and procedure to ensure local labor law is strictly adhered to
- To oversee all activities concerning the sourcing & recruitment of new team members, including job advertising, interviewing, reference checking, creating employment contracts, on boarding and separations
- To support hunt qualified candidates or provides relevant information via recommendations internally or externally
- To ensure timely preparation and arrangement for interview, selection, and recruitment
- Manage the on-line recruitment through the company’s Web Site and other recruitment channels, and liaison with recruitment agencies and universities as required
- To assist with correct and timely placement of internal and external advertisements
- Assist in keeping the JD of each position of all levels updated in the latest version
- To assist all matters relating to the orientation and on boarding for new team members in an efficient and consistent manner, and ensure separation clearance process run smoothly
- To maintain full records of all personal data efficiently, accurately and timely in both employee’s p- file and online system to ensure all such information is kept confidential
- To create employment contracts template and all People & Culture frame works in a latest version, and ensure medical insurance enrolment and registration
- Assist on the attendance management in compliance with company attendance policy
- To coordinate all matters of employee registration, and joiner & leaver processing with government / agencies as required
- To coordinate all matters of work permits and visas for expatriate employees
- To coordinate in all matters relating to individual performance appraisal, including probation review, annual review and ad-hoc ongoing performance tracking by operational leaders
- Complete relevant regular reports of People & Culture in a daily/weekly/monthly/quarterly /yearly basis with accurate data, and ensure all People & Culture frame works in a latest version
- Assist in communication of key messages to all team members and promote internal communication activities and channels, to encourage and enable feedback from team members. To support all activities designed to reinforce team member engagement
- To assist in preparation of posters and newsletters for company news and activities, and update all communication channels in a timely manner
- To assist in all activities concerning the planning, coordination, and delivery of Learning & Development
- Act the role as People & Culture office administration to providing the admin supporting for AVC People & Culture China team for office stationery order and inventory management
- To coordinate with building management from time to time in all matters of People & Culture office administration to ensure the maintenance of an efficient and professional working environment
- Perform all duties and responsibilities in a timely and efficient manner in accordance with established company policies and procedures to achieve the overall objectives of this position
- May perform other duties and responsibilities as assigned by Director of People & Culture, China & Hong Kong
Qualifications
- Minimum 2 years’ experience in similar capacity with international company
- Full understanding of People & Culture policy and process. Good understanding of China labor law
- Experience in sourcing candidates and structured interviewing
- Strong written and spoken English and Mandarin
- Be proficient in using MS office
- Organized, self-disciplined, focused, and accurate
- Act with personal professionalism and integrity at all times
- Display a positive attitude, even under pressure
- Full understanding of work permit/visa requirements for expatriates in China
- Aptitude to learn and become expert in AVC People & Culture and other People & Culture systems
