Job Description

Oaks Cypress Lakes Resort is seeking an organised and customer-focused Conference Sales & Events Coordinator to support the sales, planning and delivery of conferences, events and weddings at our iconic Hunter Valley resort.

About the Role

Reporting to the Conference & Events Manager, you will play a key role in converting enquiries into confirmed business and supporting the coordination and execution of events, ensuring an exceptional experience for our clients and guests.

Key Responsibilities

  • Respond to conference, event and wedding enquiries in a timely and professional manner
  • Prepare and issue proposals, contracts and event documentation
  • Convert enquiries into confirmed business through effective sales and follow-up
  • Coordinate event details including rooming lists, function spaces, catering and AV requirements
  • Liaise with clients, suppliers and internal departments to ensure seamless event delivery
  • Assist with site inspections and client show-arounds
  • Prepare function sheets and assist with event briefings
  • Provide on-site support during events, including weekends and evenings when required
  • Maintain accurate records, forecasts and systems

Qualifications

About You

  • Previous experience in conferences, events or hotel sales coordination (preferred)
  • Strong administrative and organisational skills with high attention to detail
  • Confident communicator with excellent written and verbal skills
  • Sales-focused mindset with a passion for customer service
  • Ability to prioritise tasks and work effectively in a fast-paced environment
  • Flexible and adaptable, with availability to work evenings, weekends and public holidays for complete client focused event delivery
