NASTAD serves as the Systems Coordination Provider (SCP) for the 47 Ryan White HIV/AIDS Program (RWHAP) Parts A and B jurisdictions funded by the Health Resources and Services Administration (HRSA-20-078), as part of the Ending the HIV Epidemic: A Plan for America (EHE) initiative. As part of this work, NASTAD develops tools and resources to support health departments in EHE Phase I jurisdictions to improve coordination across health systems and collaboration with key stakeholder groups.

Job Description

Under general supervision of the Associate Director, IT and Administration, the Manager, Meetings and Travel will provide management, coordination and hands-on delivery of comprehensive service and support to NASTAD members, staff members, and other stakeholders as appropriate.   This position will coordinate and implement several, sometimes simultaneous, live, hybrid, and virtual events, particularly to NASTAD’s Annual and Technical Assistance Meetings.

This position will monitor airline travel and purchases, manage travel-related vendors, maintain travel-related processes, reconcile meeting and travel expenses, complete appropriate forms and procedure documents, and work to fulfill NASTAD mission, goals, and objectives within the limitations of agency resources and policies and federal grant requirements.

Qualifications

Essential Functions

  • In collaboration with programmatic staff and organizational leadership, plan and execute logistics of all meetings and events, whether live, virtual, or hybrid, including RFP management, site selection, contract negotiations, registration management, food and beverage selection, room layout, audiovisual needs, and on-site logistics management, where required.
  • In advance of events, meet with staff to establish complete requirements of the events, including creating backup plans
  • Coordinate staff and non-staff travel and associated activities to ensure compliance with organizational and federal grant requirements, as well as NASTAD travel framework and safety protocols
  • Maintain and update, as needed, NASTAD’s travel and meeting policy to align with best practices and federal travel regulations.
  • Manage, monitor, distribute, and maintain a calendar of upcoming meetings and events
  • Reconcile expense reports for travel and meeting-related charges

Experience/Education 

  • Typically, a Bachelor’s degree in business or a related field (or equivalent); 4-5 years of work experience directly related to meetings and events or any equivalent combination of training, education, and experience that demonstrates the ability to perform the essential duties of the position.  Experience working with federal contractors a plus, including experiences with GSA rates, etc.

Environment and Scheduling

  • Salary range –$64,000 - $67,450 and commensurate with experience
  • Full-time, 40 hours/week role.
  • Willing to travel as needed.
