Utilizing green gardening techniques, such as native and drought resistant plants, xeriscaping, and recycled/local materials. Job Description

As Rodney Lee Brands expands, we seek an Office Manager/Personal Assistant for the company Owner. This position is responsible for providing high-level assistance/support to the owner and multiple executive level individuals within each company. To be successful in this role, you should be well-organized, be able to act independently and without guidance, and work with a sense of urgency. Our ideal candidate can analyze situations and anticipate our needs instead of waiting to be told what to do, has a can-do attitude, and wants to go the extra mile to help the owner ensure the company runs smoothly and efficiently.
Primary Responsibilities
Job duties will include (but will not be limited to):

  • Preparing/ organizing financial statements, reports, memos, invoice letters, and other documents
  • Conserving the owner's time by answering phones, routing calls, and taking messages
  • Maintaining owner's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel
  • Accurately recording notes and minutes from each meeting
  • Representing the owner by attending meetings in the owner's absence and speaking on their behalf as requested
  • Assisting other upper staff of executive’s companies with light administrative work on a project to project basis
  • Opening, sorting and distributing incoming mail, emails and other correspondence
  • Providing general administrative support
  • Researching and conducting data to prepare documents for review and presentation by owner and other company leaders
  • Reminding the owner of important tasks and deadlines, and ensuring completion
  • Liaising with staff, suppliers, contractors and clients
  • Managing strong discretion and confidentiality of sensitive business and personal information
  • Assisting the owner in light personal duties and responsibilities, such as, but not limited to: appointment scheduling, errands, groceries, bill pay, minor shopping, and other concierge services

Qualifications

  • Good oral and written communication skills.
  • Excellent organizational skills and the ability to multitask.
  • Outstanding punctuality and attention to detail.
  • Computer savvy with the ability to work with Apple products (OS X/ MacOS, iPhone, iPad) and Google Calendar.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Good discretion and trustworthiness: you will often be a party to confidential information.
