Job Description

The office manager is responsible for overall front office activities, including the lobby area, mail, and facilities. The role is also responsible for directing and coordinating office services and related activities, including arranging internal office moves and providing arrangements for office meetings.

Primary Responsibilities:

Technology:

• Track the computer inventory and coordinate the purchase of IT equipment with the external IT vendor

• Assist with the new hire orientation process by setting up basic IT equipment in coordination with the external IT vendor

• Manage the office key fob inventory and set up new key fobs for new hires and guests and replacement key fobs for staff

• Replace printer/copier toner cartridges as needed

Organizational Services:

• Monitor and maintain office and kitchen supply inventories

• Review and approve office and kitchen supply acquisition requests from staff

• Reconcile office and kitchen supply deliveries with the purchase order to ensure fulfillment of purchase and unpack/organize the supplies

• Submit maintenance requests to building management as needed

• Maintain a safe and secure working environment by ensuring the office is clean and orderly

• Order and coordinate the delivery of food/drinks for office events and meetings

• Coordinate travel as needed

• Sort mail and deliver to recipients

• Conduct research and make recommendations on office solutions that will improve the overall environment

• Coordinate monthly celebration of birthdays and anniversaries

• Assist with management of employee recognition and reward program

• Compile new employee packets and training manuals as needed

Qualifications

• Bachelor’s degree or equivalent experience

• At least two to four years of previous experience in office management.

• Excellent computer skills and knowledge of Microsoft Office Suite

• Knowledge of clerical practices and procedures

• Self-motivated and responsible, with extreme attention for detail  

• Ability to multi-task effectively

• Completes assigned tasks efficiently and accurately with minimal supervision

• Excellent written and verbal communication skills
