Company Description

An exciting opportunity awaits you as an Operations Administrator, Production for OpsMobil, an oilfield service and operations company with aviation capabilities.  The Operations Administrator is under the direct supervision of the District Operations Managers.  This position provides daily administrative support of operations/processes at the field level. This position will have a matrix reporting relationship to the Business Unit Administrator to ensure processes and procedures, set out by the General Manager, Production, are adhered to in completing daily job tasks.

Job Description

Responsibilities:

Administrative Support

  1. Prepare correspondence, reports, forms, presentations, minutes at meetings and other documents as required at the field office level.

  2. Manage timekeeping functions through Replicon software program.

  3. Manage invoicing (Accounts Receivable) through Explorer software program.

  4. Assist in Production Operations communication.

  5. Assistance and execution of company/business unit programs and processes.

  6. Assist in the coordination of business unit meetings and events.

  7. Assist in executing action items list from business unit meetings and reports status to Operations Manager and Business Unit Administrator.

  8. Coordination with other Business Unit Administrators and employees to execute job function.

  9. Other administrative tasks specific to the business unit operations as required.

 

Production Operations Coordination

  1. Coordinate and execute business unit policy/procedures as directed by the Business Unit Administrator.

  2. Assist in the coordination of the business units participation in trade shows.

  3. Coordination of marketing/promotional materials for the business unit.

  4. Coordination of intranet/mysite business unit site.

  5. Maintain business unit initiative documentation.

  6. Help Operations Managers/Operations Coordinators manage expectations, goals and targets as set forth by the General Manager.

Qualifications

Requirements:

  1. High School diploma required. Post-secondary education related to office management is an asset. Certification in Project Management or willingness to pursue training is required.

  2. Proficiency in the use of computer programs for word processing, timekeeping and accounting programs (Replicon, Explorer, Cortex, MRT, Open Invoice, GoogleDocs, Spreadsheets, Calendar, etc.), databases, email, internet, etc.

  3. Proven experience in providing exceptional customer service is an asset.

  4. Willingness to travel in light aircraft and drive company vehicle if required.

  5. Willingness to respond to enquiries after office hours and on weekends.
