Job Description

The Receptionist is responsible for establishing a warm, welcoming and professional atmosphere for all clients, attorneys and staff members. The Receptionist will be the first point of contact for visitors to the firm, making them feel comfortable, directing them to their appointments and meetings and assisting them during their stay; Performs a variety of administrative duties in support of the firm.

 

Responsibilies

  • Perform complex, diverse administrative support duties to relieve the Attorneys and staff of routine administrative details.
  •  Ensure efficient clerical procedures and file/records management and make recommendations on improvements.
  •  Perform as primary contact and establish rapport with clients, visitors and people going in and out of the office on a daily basis.
  •  Entertain and answer basic inquiries made by clients pertaining to the services provided by the firm, its mission, vision, policies and procedures.
  •  Ensure the comfort and see to the needs of clients, visitors and people dropping by the firm.
  •  Maintain the attractive, neat appearance of the Reception area, where applicable keeping newspapers and periodicals in order, coffee service replenished, etc.
  •  Screen mail, telephone calls, and visitors to determine the nature and urgency of business and exercise judgment in referring them to the appropriate attorney or staff member.
  •  Function as primary point of contact for receiving official documents and important mail addressed to the firm.
  •  Proofread and edit correspondence, reports, and other related materials for accuracy, completeness, and compliance with established procedures and standards.
  •  Work closely with the attorneys and/or other staff members to schedule and coordinate internal and external meetings (in person and teleconference).
  •  Assist with occasional research and/or special projects.
  •  Provides administrative support for the firm’s marketing and business development activities.
  •  Maintain client confidence by keeping client/attorney information confidential.
  •  Manage inventory and purchase of office supplies.
  •  Participate in meetings and conferences ensuring meeting notes are documented throughout.

 

Qualifications

  • High School Diploma or equivalent.
  • 1+ years of experience handling a reception desk, preferably in a law firm environment.
  • The ability to work under pressure, prioritizing tasks and juggling many jobs simultaneously, while constantly interacting with visitors in a public environment.
  • Professional telephone etiquette, reception and people skills.
  • High degree of personal integrity, discretion and confidentiality.
  • Knowledge and competence with personal computer to include internet research, data bases, MS Word, Outlook, Excel and PowerPoint.
  • Ability to learn quickly and apply principles of technology and new software such as West Case Notebook and Trialworks (case management system).
  • Ability to operate standard office machines, such as copier, typewriter, fax, etc.
  • Ability to deal with internal and external clients in a courteous and professional manner.
  • Obsessive attention to detail.
  • Excellent verbal communication skills that include the proper use of the English language.
  • Excellent written communication skills with the ability to transcribe, proofread and edit correspondence, reports and legal documents using proper spelling, grammar and punctuation.
  • Ability to work independently with minimal supervision while maintaining excellent communication with team members.
  • Strong reliability and accountability required.

Physical Requirements

  • Frequently required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; and talk; or hear.
  • Occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required include close vision and distance vision.

 

Hours & Work Requirements

  • Position is full-time, 40-hours per week. 
  • Office hours are 8:00 a.m. to 5:00 p.m. Monday through Friday. 
  • Minimal overtime and/or weekend work required.
