Job Description

An employee in this title has responsibility for providing general administrative support to the PRG Corporate Headquarters and to the Legal Department. The work involves relieving Senior Management of administrative functions, related clerical duties including assistance with preparation of simple agreements, basic trademark and corporate filings and similar legal assistant functions.

 

Essential Functions: 

Maintains legal files, office files and records in accordance with internal procedures.

 

Responds to internal and external requests for information and refers more complex requests to appropriate persons.

 

Prepares letters, memoranda and filings from specific instructions.

 

Obtains and assembles relevant data, and compiles information and reports as directed.

 

Participates in and facilitates the preparation, execution and administration of agreements, contracts and other legal documents.

 

Preforms a variety of bookkeeping, and basic financial duties

 

Conducts telephone, email and written correspondence.

 

May investigate facts relevant to matters in which the Legal Department and/or the Corporate Office are involved.

 

Assist in the implementation of programs and projects designed to ensure the organization’s continued compliance with applicable laws and regulations.

 

Manages, tracks and reports on the status of legal and commercial issues from other departments to ensure these issues and projects are resolved in timely fashion.

 

Creates and maintains a variety of legal and business related records.

 

Prepares routine and confidential letters.

 

Uses computer applications or other automated systems such as spreadsheets, word

processing, calendar, e-mail and database software and proprietary PRG software in performing work assignments;

 

May perform other incidental tasks, as needed, including office manager type duties for 8-12 person office.

Qualifications

MINIMUM REQUIREMENTS:

Experience:
Eight to ten or more years of corporate or administrative support experience. Legal background helpful but not required.


Education:
Possession of a Bachelor’s or higher level degree.

Excellent written and oral communication skills
Initiative and ability to manage projects from start to completion
Operates well independently and without close supervision
Good organizational and follow-up skills
Excellent attention to detail
Knowledge of financial record-keeping and basic bookkeeping
Remains calm and focused in pressure situations
Ability to interact with a wide variety of employees from other departments as well as outside support and leadership professionals
Ability to maintain confidentiality and assist on sensitive matters with discretion
Ability to adapt to a changing environment and work under tight deadlines
Successfully sets priorities, performs tasks in an orderly fashion and meets deadlines
Strong team orientation
