Job Description

The HR Coordinator & Office Manager is a dual-role involving full spectrum human resources and office management responsibilities of our newly expanded office in New Delhi. This role is responsible for performing HR-related duties on a professional level in the following HR functional areas: onboarding, offboarding, employee relations and policy implementation. The office manager component of this position is responsible for overall front office activities and managing facilities and management of the office.

The ideal candidate should be corporate culture-focused, bringing enthusiasm to the office and offering up new ideas and programs. This candidate will often be one of the first impressions that someone will have of PubMatic and therefore appearance, mannerisms, and tone must all align to convey a consistent message of our friendly culture and commitment to putting our customers first.

The candidate will be expected to perform the following responsibilities:

  • Conducts new hire formalities and offboarding.
  • Recommends new approaches, policies, and procedures to effect continual improvements in efficiency of the team or job duties.
  • Assists in the implementation of employee handbook and personnel policies and procedures.
  • Handles employee relations as a first point of contact from HR.
  • Supervises and coordinates overall administrative and office activities.
  • Supervises the maintenance of office equipment, including copier, aircons, IT equipment, AV equipment, printer etc.
  • Responsible for the facilities day-to-day operations (such as distributing building access keys and back-up to security access cards, stocking up the pantry, office mail management etc.).
  • Negotiates the purchase of office supplies, stationary and furniture, office equipment, etc. in accordance with company purchasing policies and budgetary restrictions.
  • Liaises with HR, Accounting, Marketing and Facilities teams in our Pune office for day-to-day operations (transport, branding, reporting).
  • Partner closely with local and global HR teams on employee engagement events/activities. 
  • Monthly Expense reporting for corporate credit card. 

Skills and Specifications:

  • Highly responsive, work well under pressure, and work independently as well as part of a team.
  • Committed to create a culture of engagement in a diverse set of teams.
  • Proficient in Microsoft Word, Powerpoint and Excel.
  • Proficient with basic budget management and calculations.
  • Ability to multi-task, attention to detail and deliver effective results and meet deadlines.
  • Exceptional project management and meticulous planning skills.
  • Excellent written and verbal communication skills.

Qualifications

  • A bachelor’s degree in related field.
  • 2 - 3 years of general administrative assistant experience required.
  • At least 1 year of HR administration experience preferred.

Return to Office: PubMatic employees throughout the global have returned to our offices via a hybrid work schedule (3 days “in office” and 2 days “working remotely”) that is intended to maximize collaboration, innovation, and productivity among teams and across functions. All PubMatic employees in the US and India are required to be fully vaccinated to return to our offices. Covid-19 boosters are not required at this point in time.
