Job Description

SUMMARY: This full-time position is responsible for the purchasing functions for the university, special projects for the Finance area, and providing additional support to the Treasurer and Finance function as needed and defined below.  The successful candidate will be technically competent, analytical, resourceful, accurate, dependable, and focused on efficiency.  The successful candidate will also have excellent customer service and communication skills.  This position reports to the Director of Treasury and Risk Management.


Essential Duties and Responsibilities:


    • Responsible for purchasing function of the university which includes receipt of purchase order requests, audit of requests, and data entry of requests

    • Responsible for purchasing card program administration and compliance

    • Manage university vendor list

      • Responsible for setup and approval process

      • Understanding of 1099-MISC reporting requirements for vendor setup

    • Assist with 1099-MISC year-end filing

    • Management of centralized receivable function for non-tuition revenue

    • Create and maintain documentation of processes and procedures

    • Assist with educating and training campus constituents on policies and procedures of purchasing and accounts payable, both formally and informally

    • Provide information to faculty, staff and students as it relates to the purchasing and accounts payable functions

    • Provide general technical support for Finance area, including Jenzabar support

    • Assist with 10-20% of accounts payable functions

    • Complete special projects as assigned

    • Manage escheat reporting process

    • Problem solving and researching of issues as necessary

    • Assist with contract review and risk management functions

    • Assist and identify process improvement strategies and opportunities

    • Provide back-up support for accounts payable function and ecommerce function

    • Maintain strict confidentiality of student and university information, adhering to FERPA and other applicable regulations


    Non-Essential Duties

  • Other duties may be assigned as needed.



    • Bachelor’s degree in business or related field (preferred)

    • Experience in Purchasing and Accounts Payable area

    • Proficient with data entry with a high percentage of accuracy

    • Ability to independently review and process requests in compliance with guidelines set by the university

    • Excellent customer experience

    • Ability to problem solve and research issues as needed

    • Proficient computer skills, including but not limited to Microsoft Word, Microsoft Excel and ERP systems

    • Ability to quickly learn and assimilate new systems and information

    • Demonstrated organization and follow-up and follow-through skills to ensure completion of goals and objectives in specified timeframe

    • Must be able to work in a fast-paced environment with demonstrated ability to effectively prioritize multiple competing tasks and demands

    • Ability to quickly learn and apply new knowledge and skills

    • Proven exceptional attention to detail and ability to consistently produce error free result

    • Excellent written and verbal communication skills and etiquette and track record of proactive communication

    • Proven ability to identify, define, analyze, and resolve problems

    • Ability to analytically solve simple and complex problems

    • Detail oriented with the ability to multi-task

    • Ability to work independently as well as to accept directions on given assignments and projects

      • Ability to handle and maintain confidential information

    Position could be part-time (30 hours) for the right candidate.
