Temporary, Part-Time Administrative Assistant for Executive Education

Job Description

Summary: The position is responsible for providing administrative support within the office of Executive Education (Executive Leadership Institute and Executive MBA). This is a part-time, (20 hours per week), temporary position reporting to Executive Director of Executive Education.

Essential Duties and Responsibilities:

  • Manage office and provide high quality, timely administrative support for Executive MBA program and Executive Leadership Institute. 
  • Create and assemble nametags, tent cards, binders, signage, and print materials for all programs and events.
  • Support program logistics; AV requests, parking requests, and room reservations.
  • Invoice processing and tracking.
  •  Process purchase orders, credit card statements, and budget transfers.
  • Receive, track, and deposit program payments and issue receipts.
  • Order and inventory office supplies, snacks, beverages, and project materials. 
  • Ensure discretion of highly confidential information.
  • Answer phones, sort mail, and respond to routine inquiries and correspondence.
  • Assist with exam proctoring, scoring, and program certificates.
  • Program evaluation tabulation and reporting.
  • Schedule meetings on and off campus.
  • Assist with program open houses and community programs (Food for Thought).

Non-Essential Duties:

  • Other duties and special projects may be assigned to meet university needs.

Qualifications

Experience, Knowledge and Skills Required:

  • Proven attention to detail, accuracy, and timeliness.
  • Mastery of the Microsoft Office suite (Word, Outlook, PowerPoint, Excel). 
  • QuickBooks experience.
  • At least two (2) years administrative support experience.
  • General to advanced computer skills and ability to quickly learn and utilize new software programs.
  • Excellent interpersonal and client service skills and experience interacting with multiple constituencies (faculty, staff, students, and clients).
  • Strong written and verbal communication skills.
  • Excellent organization and follow-up skills.
  • Ability to multitask in a fast-paced environment, appropriately prioritize projects, and meet given deadlines.
  • Ability to work independently and as a member of a team.
  • Ability to safeguard sensitive and confidential information.
  • Budget management experience preferred.

  • Visual Abilities: Read reports, create presentations and use a computer system.
  • Hearing: Hear well enough to communicate with co-workers, vendors, and students.
  • Dexterity, Grasping, Feeling: Write, type and use the telephone, copier, and computer systems.
  • Mobility: Open files and operate office machines; move between departments and attend meetings across campus.
  • Talking: Frequently convey detailed or important instructions and ideas accurately, loudly, or quickly.
  • Lifting, Pulling, Pushing: Exert up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.

Additional Information

Work Conditions

  • Works in office environment, involving contact with faculty, staff, students, parents, service providers and vendors.
  • Work has deadlines, multiple interruptions, and may be stressful at times.
  • Work may require occasional evening hours; mostly related to high volume events.
