Assistant Director, Student Financial Services

Job Description

Summary: This full-time position is responsible to assist students and families proactively in affording an education at Queens by optimizing funding from federal, state, and institutional resources within the framework of established regulations and policies. In addition, this position works closely with office leadership in directing and managing counseling operations to ensure office efficiencies, compliance and student service.   

Essential Duties and Responsibilities include the following:  

  • Responsible for the financial aid awarding of all student populations as well as counseling students as needed
  • Assist the Director and Assistant Vice President in leading, directing and managing the operations, work flow and office policies and procedures
  • Assist with the supervision and training of Student Financial Services counselors
  • Support the administration of all institutional, federal and state programs within appropriate guidelines and regulations to ensure University compliance
  • Determine eligibility and award various types of institutional, state, and federal assistance in full compliance with state and federal regulations, university policies and audit requirements
  • Assist the Finance & Business Office in reviewing awards on credit balance refund requests prior to submission to accounts payable
  • Evaluate and make independent decision in relations to unusual cases, special requests, and verification issues
  • Communicate with students and their families along with appropriate agencies regarding student accounts
  • Advise students and prospective students on alternative funding sources and payment plans administered by the university
  • Provide superior customer service to students and families
  • Present information sessions both on campus and in the community

Non-Essential Duties:

  • Special projects and additional duties as assigned to enhance the level of service commitment to students, their families and the University

Qualifications

Experience, Knowledge and Skills Required:

  • Three years of financial aid or related experience in a higher education setting is preferred
  • Have working knowledge of federal regulations, state law, and university policies in awarding financial assistance to ensure compliance and audit requirements
  • In depth, current knowledge of principles, practices, methodology, and procedures for the provision of student financial aid and the ability to apply that knowledge to ensure goals are met
  • Sensitivity to the financial concern and stress of students and their families and an aptitude for explaining complex financial information in terms that are easily understood and enhance the customer’s experience
  • Excellent interpersonal, communication, and analytical skills.
  • Proven customer service skills and enthusiasm for providing exceptional service to diverse populations including undergraduate and graduate students, parents, staff faculty and other constituencies
  • Superior organizational and problem resolution skills, including exceptional project management skills and a reputation for delivering results on time and within budget
  • Experience in multi-task and detail operations
  • Ability to be flexible and adapt to stressful circumstances and difficult customers
  • Ability to work both independently and collaboratively towards the optimum delivery of service to the customer
  • Flexibility in work schedule to accommodate limited evening and weekend hours
  • Proficiency with Microsoft Office Word, PowerPoint, Excel, Access and Outlook
  • Preference given to candidates with PowerFaids and Jenzabar software experience
  • Bachelor’s degree, or equivalent combination of education and experience

  • Eye-Hand Coordination: Requires hand-eye coordination and manual dexterity sufficient to operate a computer keyboard, copier, calculator and other office equipment.
  • Talking: Especially where one must frequently convey detailed or important instructions or ideas accurately, loudly, or quickly.
  • Repetitive Motion: Movements frequently and regularly required using the wrists, hands, and/or fingers.
  • Average Hearing: Able to hear average or normal conversations and receive ordinary information.
  • Average Visual Abilities: Average, ordinary, visual acuity necessary including close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
  • Physical Strength: Will regularly be required to sit, use hands to finger, handle or feel objects, tools and controls reach with hands and arms. Must be able to stand, walk, stoop, kneel, or crouch. Must regularly lift and/or move up to 10 pounds, and occasionally lift and/or move up to 20 pounds.

Work Conditions
  • Work in office environment involving contact with faculty, staff, students, executives, donors, parents, service providers and vendors.
  • Work has deadlines, multiple interruptions, high volume and may be stressful at times.
