Summary

Seeking an individual with a background in Higher Education to develop methods for gathering, analyzing and reporting information in support of College Enrollment strategic initiatives. The Data Analyst will analyze, interpret and manipulate complex data, prepare reports, and make recommendations that will inform policy. This position will initiate research and data analysis for Enrollment. 

The Data Analyst will provide support in advancing strategic goals through the conduct of research and data collection, establishing and managing data collection processes, gathering data, building reports, and developing and maintaining a system for collecting and communicating data and program results. The incumbent will focus on conducting quantitative research, analysis, and predictive modeling. The position includes importing, cleaning, transforming, validating and modeling data with the purpose of understanding and making conclusions from the data for presentation and decision-making purposes in Admissions. 

This position reports to the Director of Admissions and works closely with the Dean of Admissions, data analysts across the Enrollment Management team, Institutional Research as well as the Information Technology department.  

The successful candidate must have experience working with complex data sets and running complex statistical procedures and models. Strong general computer skills and expertise with Microsoft Excel is essential, along with experience using predictive analytics software, such as SPSS. 

The successful candidate must demonstrate the ability to utilize a CRM to gather and collect data. This position will manage a direct report to oversee file management and data processing. 

The successful candidate must demonstrate superior communication skills and judgment as well as management and leadership skills. Excellent oral, written and interpersonal skills in a diverse environment are essential, as is a professional and resourceful approach. Must possess demonstrated customer service experience that incorporates a global perspective, along with a commitment to diversity and the ability to work in a team setting with all levels of management, faculty, and staff. 

Essential Duties and Responsibilities

  • Develop protocols and methods for gathering information and conducting annual research for recruiting and admissions review.
  • In consultation with the Director and Dean, evaluate and contribute to predictive modeling anticipating likely enrollment choices and cyclical prospect, applicant, and admitted student behavior. 
  • Develop procedures for modeling, identify data requirements, and evaluate existing procedures and models to recommend adjustments for multiple models designed to address intermediate outcomes, to inform the strategic design, goal-setting and program choices of the Director and Dean.
  • Analyze, interpret and evaluate numerous strategic and targeted recruitment programs by working with the point person of each event/area. Provide critical feedback as part of comprehensive program review for all major programs annually (especially for annual retreat review). 
  • Develop programming and standard reporting protocols for admissions which include application data, student inquiry and prospect data, admission decisions, enrollment trends, etc. 
  • Direct the activities of admissions staff in the conduct of gathering, compiling and analyzing information that leads to the development, implementation, maintenance and circulation of data dashboards and other user-friendly presentation ready format for enrollment leaders and stakeholders designed to promote evidence-based decision-making for senior leadership and external constituents.
  • Manage the completion of a broad spectrum of required federal, state, and private surveys and reports for final review and approval by the Dean of Admissions in conjunction with Institutional Research.
  • Review annual reporting requirements, identify changes, and update internally generated reports and procedures. 
  • Develop an annual calendar of internal reports designed to address real-time information requests from the Dean and Director.
  • Provide ad hoc reports as directed by the Dean and the Director of Admissions, in response to new initiatives and audits.
  • Working with Institutional Research, provide data for external reporting that include but are not limited to: HEOP, Common Data Set, NCAA, IPEDS, IRS, and a variety of media surveys.
  • With direction from the Dean of Admissions and Director of Admissions, work in close coordination with members of Information Technology, Institutional Research, and others to ensure all processes lead to accurate and timely data collection for successful incorporation into modeling and analysis. 
  • Through procedures, training, quality control and testing, ensure highest-quality supervision throughout the cyclical collection of admissions and financial aid data used for reporting, program management and supporting strategic enrollment decisions. Certify the accuracy of data routinely and as required.
  • Consult frequently with academic departments, mailing and postage vendors to ensure best practices as they manage student records for mailing, outreach, and reporting projects.
  • Identify and develop database management and other information technology tools, including software, to support statistical data interpretation and reporting. Recommend new purchases of new enrollment systems (e.g. CRM) designed to support the needs of the organization and serve as the senior administrator in this area.
  • Continued growth and development in the field of enrollment management through attendance at conferences, workshops, (etc.) as a participant, panelist, presenter, or moderator as needed for the purpose of determining and implementing best practices, remaining current in the field and incorporating this knowledge into practice.

Qualifications

Experience, Knowledge and Skills Required

  • Bachelor’s degree and 3-4 years of experience in statistics, economics, applied mathematics, social science/policy field with a solid background in quantitative method, or related quantitative subject, or the experience in education and experience required.
  • Master’s degree in a quantitative field of study preferred.
  • Background in education research, institutional research, retention and student success, or enrollment management research is desirable.
  • Working knowledge of college admissions and financial aid is also a plus.

  • Eye-Hand Coordination: Requires hand-eye coordination and manual dexterity sufficient to operate a computer keyboard, copier, calculator and other office equipment.

  • Physical Strength: Will regularly be required to sit, use hands to finger, handle or feel objects, tools and controls reach with hands and arms. Must be able to stand, walk, stoop, kneel, or crouch. Must regularly lift and/or move up to 20 pounds, and occasionally lift and/or move up to 30 pounds.
