Administrative Assistant to the Dean of Students Office

Job Description

Summary

This is a full-time, 12-month position responsible for assisting Student Life in coordinating programs and services to better serve the undergraduate student population. This position reports directly to the Dean of Students.

Essential Duties and Responsibilities

  • Assist the Dean and Assistant Dean of Students by providing all administrative and clerical support for Student Life
  • Participate in the planning, implementation, and evaluation of Student Life sponsored events and activities including ROAR, Welcome Week, Family Weekend, Student Life Awards, Student Leadership Selection process, and 1-2 Sexual Misconduct Educational Awareness campaigns
  • Train and supervise 8-10 work study students
  • Serve as the editor for the QNews (for students) communication tool for Student Life
  • Oversee the SGA credit card administrative process for clubs and organizations
  • Manage and market the Service Referral List on campus and to the community
  • Manage student records and disciplinary files
  • Take notes in Student Life staff meetings and produce a summary following every meeting
  • Oversee the updating of the on-line Student Handbook and Student Life employee handbook each summer
  • Serve as front-desk contact in assisting students, faculty, staff, and other visitors to the Department of Student Life
  • Provide on-going support to Student Life as needed

  • Other duties and special projects may be assigned to meet department and university needs

Qualifications

Experience, Knowledge, and Skills Required

  • Bachelor's degree or equivalent experience (5-7 years) and education
  • Administrative support experience
  • High level of proficiency in computer and office software
  • Experience with web design a plus
  • Strong organizational and interpersonal skills
  • Detail oriented
  • Proficient at multi-tasking
  • Problem solving skills
  • Must enjoy working with college-aged students

  • Lifting, Pulling, Pushing: Exert up to 30 pounds for force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects - 50-74% of the time
  • Cognitive/Emotional: Ability to critically think and concentrate. Must be able to respond quickly to changes in conditions - 75-100% of the time

Additional Information

Work Conditions

  • Work in office environment, involving contact with faculty, staff, students, parents, service providers and vendors.
  • Work has deadlines, multiple interruptions and may be stressful at times.
