Job Description

Summary:

This position is responsible for the executing the day-to-day business operations within the Traditional Undergraduate Admissions office, particularly the daily campus visits. These visits serve a vital role in helping the University attract, engage and enroll prospective students (and their families). This person will work in close proximity with the Guest Relations Coordinator and other members of the admissions team to achieve the University’s enrollment goals by ensuring the day-to-day functions of the office are carried out fully.

Essential Duties and Responsibilities:

1) Work with Guest Relations Coordinator to help:

a. Facilitate campus guest experiences for visiting families, ensuring their schedules and appointments are carried through with precision, while being flexible to implement change as needed.

b. Maintain the office calendar.

c. Facilitate preparation of informational packets for prospective student and other admissions guests.

d. Assist in coordinating the Royal Ambassador tour coverage schedule.

e. Serve as the official greeter to all guests visiting the Harris Welcome Center.

2) Answer incoming calls in a warm and friendly manner, and transfer calls to the appropriate staff member or take/deliver useful messages.

3) Manage the admissions @ queens email inbox.

4) Work closely with campus departments to provide colleagues and students with accurate information concerning all aspects of the admissions process.

5) Effectively communicate with constituents and think quickly and creatively to promote Queens in the most positive light at all times

6) Assist with planning and coordination special projects that contribute to the strategic plan.

7) Provide operational support to communicate effectively with prospective students.

8) Contribute to planning and implementation of on campus recruitment events (i.e., Royal Open House, Accepted Students Day, Royal Scholarship Program, etc.).

9) Provide support to the Operations team to communicate with prospective students.

10) Ensure a welcoming Harris Welcome Center lobby.

Qualifications

Experience, Knowledge and Skills Required

§ Experience preferred in event planning, customer service and education.

§ Strong interpersonal skills and leadership qualities, including the ability to quickly establish rapport with a wide spectrum of people, both external and internal to the university.

§ Must have proven ability to project a professional image at all times when representing the university.

§ Excellent verbal, written and interpersonal communication skills; proven ability to plan and deliver effective presentations to small and large groups.

§ Demonstrated organization and planning skills; acute attention to detail and strong follow-up and follow-through skills to ensure timely, within-budget completion of goals and objectives.

§ Proven ability to identify and resolve problems in a timely, creative, win-win manner.

§ Must be able to work in a fast-paced environment with demonstrated ability to effectively prioritize multiple competing tasks and demands.

§ Computer proficiency, particularly in MS Word, Outlook, PowerPoint, Excel.

§ Ability to work independently and as a member of a team.

§ Proven ability to quickly learn and apply new information.

§ Availability to work a flexible schedule, including nights and/or weekends to meet demands of the position.

§ Bachelor’s degree strongly preferred, or equivalent combination of education and experience.

Work Conditions
• Work in office, online, and classroom environments, involving contact with business leaders, faculty, parents, staff, administrators, students, trustees, and vendors.
• Potential day and overnight travel via automobile, flight and public transportation to businesses involving contact with clients and potential clients, staff, and administrators.
• Potential travel to national conferences to represent the university.
• Willingness and ability to work during evenings and weekends to accomplish goals of the position.
• Work has deadlines, multiple interruptions, and high volume and may be stressful at times.
