Over 100 different events by a mix of classical, rock, pop, jazz, R&B, indie, and country performers make up a typical summer season on our two open-air and two indoor stages. Each year the Chicago Symphony Orchestra is featured in six weeks of concerts, many with Chief Conductor Marin Alsop. During the same summer months, the Ravinia Steans Music Institute provides young professional classical and jazz musicians with career-advancing training and concert settings.

Job Description

The Manager for the Ravinia Steans Music Institute (RSMI) reports to the Director of RSMI and works collaboratively with the Assistant Director on the daily operations of RSMI, interfacing with RSMI faculty, fellows, and seasonal staff. This position also manages the logistics of travel and concert operations for RSMI summer programs, alumni tours, and other concerts and events. Additionally, the manager plays an integral role in developing and managing the RSMI alumni network, and supports the RSMI committee. The ideal candidate demonstrates extraordinary organizational skills and excels at building meaningful relationships with artists, staff, and vendors.  A strong collaborator and team player who can prioritize is vital to the success of this position. 

 

Duties and Responsibilities:

RSMI Summer Programs Operations

  • Support the Assistant Director in management of seasonal staff, including hiring, training, and scheduling
  • Arrange and coordinate transportation and housing for RSMI faculty and fellows, including booking air travel, rental cars, hotels, and accommodations
  • In collaboration with Asst. Director, organize housing arrangements for fellows and faculty, and prepare houses for use by Ravinia guests and artists
  • Manage meals for RSMI fellows and faculty, including tracking dietary restrictions, coordinating catering schedules, and interfacing with Ravinia on-site providers
  • Provide administrative and customer service support to RSMI faculty and fellows
  • Manage planning and logistics for all auxiliary board outings and events
  • Produce program book materials
  • Manage RSMI Music Library, including organizing and disseminating repertoire assignments
  • Manage payment of vendors and credit card reconciliations

Tour Management and Off-Site Performances

  • Serve as tour manager during annual alumni tours, which travel nationally
  • Manage booking of RSMI alumni tour performances and serve as primary contact for all performance venues
  • Contract artists and manage all tour logistics (travel, lodging, rehearsals, etc.)
  • Manage requests, hire performers, and oversee logistics for off-season and off-site performance requests 
  • Manage payment of vendors and credit card reconciliations

RSMI Alumni Relations and Board Committee

  • With RSMI Director, develop an RSMI alumni network 
  • Manage alumni database and communications with alumni
  • Provide administrative support for RSMI board committee
  • Plan and coordinate events for alumni and RSMI committee

Qualifications

  • At least three years of experience in arts administration, artist management, or relevant experience in project management and/or hospitality
  • Working knowledge of classical and/or jazz music (repertoire, methods, instruments, etc.) is required
  • Demonstrated ability to work with efficiency and poise in stressful and intense situations
  • Strong organizational and problem-solving skills
  • Ability to work independently and collaboratively within a team environment

Salary: $50,000 - $55,000
