We are seeking a highly organized Office Coordinator who can excel in our fast-paced and energetic marketing company. Previous experience in a similar role is required. Excellent teamwork, communication, ability to prioritize effectively, and a service-minded attitude are key for this role. Critical thinking and problem solving are vital for any role at retailcomm.

Job Description

The Office Coordinator is an integral part of ensuring office operations run smoothly and are successful in supporting business activities. This position will undertake a variety of day-to-day administrative and clerical tasks and be responsible for maintaining an enjoyable and consistent work environment in both appearance and function. 


Responsibilities of the Office Coordinator include (but are not limited to):
  • Enthusiastically greet, welcome, and service all office visitors, prepare for client and vendor visits
  • Maintain professional appearance of the office, including conference and break rooms.
  • Plan and facilitate company functions and meetings, coordinate meals, and send calendar invites.
  • Manage and distribute birthday, anniversary, and holiday reminders.
  • Manage office supply inventory, purchasing, and budget.
  • Schedule and prepare for interviews and assist with HR coordination activities.
  • Facilitate set up and training for new hires including desk and welcome kit preparation, scheduling training sessions, and other related duties.
  • Assist with Accounts Payable files and other clerical tasks as needed.
  • Perform administrative functions for executive leadership.
  • Perform other duties and errands as assigned or requested.
  • Maintain excellent standards across all functions.

Qualifications

  • Applicants with or seeking a college degree preferred but not required.
  • Proficient in Microsoft Office, mobile technology, and general web applications.
  • Must be a clear and concise communicator with the ability to multi-task yet have a keen eye for detail.
  • Must be flexible, organized, and present in a professional manner.
  • Must have excellent interpersonal and communications skills.
  • Must have sensitivity to confidential information.
